Position Summary/Job Duties:

This is a Limited Term Employee position with the expectation of 20 hours per week. This position can be stationed at any DNR office in the state. The position is eligible for a flexible, hybrid remote work schedule. Details and work schedule will be discussed upon hire and are subject to supervisor approval. 

Under general supervision of the Certification Services Section Manager, this position assists the Program Chemist in administering the Laboratory Accreditation program authorized under ch NR 149, Wis. Adm. Code. Some of the responsibilities include: records management, creating and maintaining training documentation, standard operating procedures, audit checklists, maintaining meeting minutes, creating training and outreach materials for internal and external customers, maintaining the Program’s webpage, assisting in database management and recording IT tasks, and assisting in processing accreditation applications.

50% Create and maintain program protocols, operating procedures, training documents and webpages

  • Create and maintain standard operating procedures, audit checklists, and other Program resources
  • Develop and routinely update external program webpages
  • Develop user guidance materials used to train and support lab auditors
  • Maintain paper and electronic records following Program’s retention policy

30% Provide administrative assistance to the Program Chemist and Lab Auditors 

  • Assist the Program Chemist during the laboratory accreditation renewal period (data entry, track payments, communication with customers, update contact information in database, track renewal certificates, etc.)
  • Assist in processing laboratory accreditation applications 
  • Assist in creating invoices and tracking payments
  • Record meeting minutes
  • Create and maintain a system for recording Program decisions 

10% Maintain the database for the laboratory certification program

  • Assist in further development and maintenance of the laboratory certification database 
  • Serve as a system tester for applicable IT projects 
  • Update the laboratory certification database at the direction of the Program Chemist (i.e. contact information, addresses, notes, etc.)

10% Other duties as directed by the Program Chemist and Section Manager

Qualifications:

Minimally qualified candidates will have the following:
•    Excellent attention to detail and organizational skills
•    Experience working with Microsoft Office Suite (i.e. Word, Excel, OneNote, PowerPoint) 
•    Experience or education in chemistry or similar scientific field

In additon, well-qualified candidates will have one or more of the following:
•    Excellent customer service and communication skills
•    Ability to plan daily activity and self-motivate
•    Experience providing program support (i.e. creating forms, managing records, communicating with customers and/or stakeholders, creating guidance documents or standard operating procedures, creating training materials, etc.)
