Department Overview:

Student Affairs at the University of Wisconsin-Madison is led by the vice chancellor for student affairs. Our staff is dedicated to serving students and to helping them succeed in and out of the classroom in areas including health and well-being, identity and inclusion, leadership and engagement, and student advocacy. Student Affairs includes departments led by the dean of students; departments that provide community spaces and leadership resources; the Wisconsin Union; University Health Services; and University Recreation and Wellbeing

Schedule:

Flexible, established around class schedule. Must be able to work 10 hours during office hours of Monday-Thursday, 8 a.m. and 4 p.m.

Qualifications:

Commitment to work through summer is required. Must be a current student able to work at least one year in the position.

Knowledge, Skills & Abilities:

All majors are encouraged to apply.

Experience in an office, administrative or office setting (preferred)

Involvement with student organizations, fundraising efforts, or volunteer work

Experience with email marketing platforms

Experience with interviewing for storytelling (preferred)

Position Summary/Job Duties:

As an Advancement Associate, you will support the mission of Student Affairs by assisting with donor stewardship, communications about the impact of donor gifts, and engagement initiatives. This paid internship offers hands-on experience in advancement/fundraising communications, donor relations, and content creation, providing valuable insight into the world of higher education fundraising. Under the guidance of the Advancement and Communications teams, you will:

Assist with the stewardship process by drafting thank-you messages, donor updates, and impact reports.

Serve as a frontline contact for donor inquiries, providing prompt and professional responses or directing questions to appropriate staff.

Support the collection and creation of donor impact stories, including conducting interviews, gathering visuals, and drafting narratives.

Help maintain and update advancement-related content on the Student Affairs website.

Contribute to planning and writing social media content to engage students and promote participation in campus Days of Giving.

Track and organize stewardship materials and campaign data as needed.

Collaborate with colleagues to ensure consistent messaging and brand alignment across advancement efforts.

Perform other duties and special projects as assigned.

Physical Demands:

This position primarily operates in a professional office environment and requires the ability to:

Sit for extended periods of time

Use a computer and other office equipment (e.g., printers, telephones) regularly

Occasionally lift or move items up to 10–20 pounds
