About the Office of Access, Inclusion, and Compliance (OAIC): The Office of Access, Inclusion, and Compliance (OAIC) supports the Division of Extension’s strategic commitment to inclusive excellence by advancing equitable systems, strengthening relationships, and fostering belonging across the organization. OAIC partners with educators, staff, and leadership to ensure that Extension’s programs, policies, and culture reflect principles of equity, access, and accountability. The OAIC team provides consultation, training, and tools to help the Division build inclusive practices, track progress, and engage diverse communities throughout Wisconsin. |

- Employment will require a criminal background check - Student must be enrolled for credit at an educational institution. Student will need to show proof of enrollment before starting.
Required Experience • Current enrollment as a UW–Madison undergraduate or graduate student in business administration, public affairs, education, sociology, communications, or a related field. • Demonstrated experience providing administrative or operational support in an academic, organizational, or community setting.
Preferred Experience • Experience with financial transactions, procurement, or vendor coordination. • Experience with data collection, tracking, or reporting for organizational projects. • Experience supporting equity, inclusion, or community engagement initiatives. • Prior student employment or internship experience in higher education or nonprofit organizations. |
Knowledge, Skills & Abilities:

Required Knowledge, Skills, and Abilities • Strong organizational and administrative skills with exceptional attention to detail. • Familiarity with Google Workspace (Docs, Sheets, Drive, Forms) and Microsoft Office (Word, Excel, PowerPoint, Outlook). • Excellent written and verbal communication skills. • Ability to manage multiple priorities, meet deadlines, and adapt to changing needs. • Strong analytical and problem-solving skills. • Ability to maintain confidentiality and professionalism when handling sensitive information. • Commitment to inclusive excellence principles.
Preferred Knowledge, Skills, and Abilities • Experience with or willingness to learn Workday, Shop@UW, or similar financial systems. • Experience with process improvement, workflow documentation, or data reporting. • Familiarity with virtual platforms (Zoom, Microsoft Teams) and online facilitation support. • Experience coordinating events, meetings, or professional development workshops. • Interest in organizational systems, equity education, or human-centered process design. • Ability to assist facilitators and engage participants during interactive sessions.

Position Summary/Job Duties:
|
Administrative & Event Support • Provide administrative support for OAIC programs, trainings, and meetings. • Schedule and coordinate meetings, manage shared calendars, and prepare agendas and materials. • Assist with logistics for in-person and virtual workshops, trainings, and Communities of Practice. • Take meeting notes, track action items, and support post-event follow-up communications. • Help facilitators prepare materials, gather evaluation data, and organize documentation.
Process Improvement & Data Support • Assist in process mapping and documentation for office workflows and systems improvement. • Support vendor management and purchasing processes using Workday and Shop@UW. • Conduct financial reconciliation and maintain accurate records of expenditures and transactions. • Help collect, organize, and analyze data for OAIC reporting and internal dashboards. • Contribute to streamlining procedures that enhance efficiency, transparency, and accessibility.
Collaboration & Communication • Maintain organized digital files, forms, and templates in Google Workspace and Microsoft Office. • Support communication and coordination between OAIC and internal partners. • Uphold OAIC’s values of equity, respect, and belonging in all interactions.
