Department Overview:

International Student Services recognizes international students as a vital part of UW–Madison. We are committed to educating and empowering students to make informed decisions and working with them to advocate for a globally inclusive community. We support this through four strategic areas: advising, compliance, operations, and global engagement. We advise on F and J visas by providing holistic support through advising on immigration, personal, and cultural matters. We are compliant with both federal and university policies for F-1 and J-1 students. Lastly, we contribute to the successful experience of all students, with an emphasis on international students studying at UW–Madison by providing services and programs to advance the internationalization of campus and community.

Schedule:

A minimum of 12 hours/week. Schedule will be based on our open office hours from 8:30am-4:00pm Monday-Friday. During peak academic time, hours per week can be flexible. Additional hours may be scheduled during vacation periods.

The ideal candidate will have the ability to work with a diverse clientele in a fast-paced work environment.

Knowledge, Skills & Abilities:

- Understanding of the importance of compliance in international student services and the role of data in supporting student success.
- Attention to detail and accuracy in data entry, review, and reporting
- Ability to analyze and interpret data for reporting and to inform decision-making
- Proficiency in Microsoft Excel
- Strong ability to learn and adapt to new systems, policies, and processes
- Strong intercultural communications skills, including written and verbal communication
- Ability to work with confidential information (FERPA, Immigration)
- Ability to multitask

Position Summary/Job Duties:

Note: This position is for graduate degree level students only.
- Support the migration of data and workflows from legacy systems to updated platforms or new software solutions, helping test and validate data integrity during system transitions.
- Document processes, issues, and resolutions to support continuity and training with students and staff to ensure smooth integration of new systems.
- Develop Terra Dotta training modules and knowledge base documentation for staff, student and scholar, and campus partner audiences.
- Contribute to special projects related to data cleanup, archiving, system upgrades, or reporting enhancements as assigned by ISS staff.
- Assist ISS staff in maintaining and updating international student records by helping identify and resolve data inconsistencies or errors and perform routine data quality checks and audits.
- Work to maintain confidentiality of student records and data in accordance with FERPA and immigration guidelines.
- Generate reports and help compile data such as enrollment trends and visa status summaries for internal use, supporting the creation of visualizations for presentations and compliance reviews
- Apply Excel skills by using formulas, pivot tables, macros, and graphs to support data reporting based on information from Terra Dotta, SEVIS, and the UW-Madison Student Information System (SIS). (Terra Dotta is the online immigration portal for UW-Madison. SEVIS is the Student and Exchange Visitor Information System managed by the U.S. Department of Homeland Security).

Physical Demands:

- Must be able to remain in a stationary position 80% of the time within the office
- Occasionally move boxes and office equipment weighing up to 20 lbs(~9kgs) for various office and events needs
