Department Overview:
The AI Hub and MLI are both located in the Marketing Leadership Institute, one of the ten Knowledge Centers in the Wisconsin School of Business (WSB). The AI Hub for Business provides practical knowledge, industry connections, and academic expertise to transform business and prepare the next generation of business leaders. The MLI connects WSB students with industry through events, employer partnerships, and applied learning by hosting guest speakers, career treks, workshops, and networking receptions while producing content that highlights student success and alumni engagement.

Schedule:
Approximately 8–15 hours per week during the academic year, with a flexible schedule coordinated around the student's class schedule and the needs of the department. Workload may vary throughout the month, with additional hours occasionally needed during periods of increased financial activity, such as month-end reconciliations and monthly budget updates. The position is expected to begin in person to support training and onboarding. As the student demonstrates proficiency, reliability, and the ability to work independently, there may be opportunities to transition to a hybrid schedule with some remote work.

Qualifications:
Required Qualifications • Current undergraduate student at UW–Madison • Interest in finance, accounting, business operations, or administration • Ability to handle confidential information responsibly • Experience with spreadsheets (e.g., Excel or Google Sheets) • Availability to work approximately 10 hours per week, with flexibility to adjust hours based on office needs Preferred Qualifications • Preference may be given to sophomores and juniors to support continuity in the position across multiple academic years

• Strong attention to detail and organizational skills • Ability to manage multiple tasks and meet deadlines • Strong analytical and problem-solving skills • Ability to work independently while also contributing effectively as part of a small team • Ability to learn university financial systems, policies, and procedures • Strong written and verbal communication skills • Ability to adapt to changing priorities and operational needs • Ability to maintain accurate records and identify discrepancies • Ability to work independently with minimal supervision after completing training
Position Summary/Job Duties:
Finance & Administrative Support • Collect receipts and supporting documentation for expenses • Compile expense information and prepare simple forms • Maintain basic budget trackers and logs under staff supervision • Assist with maintaining process documentation for recurring financial tasks Expense Processing & Payments • Submit e-reimbursements and proxy purchasing card (p-card) payments, as authorized • Gather required documentation for financial transactions • Assist with tracking reimbursement and payment status Program & Operations Support • Assist with financial preparation and documentation for programs and events • Support organization of financial records and digital filing systems • Help ensure compliance with university policies and procedures Additional Support • Assist with other operational and administrative tasks as needed • Support ad hoc projects related to budgeting, reporting, or program operations
