Department Overview:

European Studies will hire this 50% Project Assistant for a 9-month appointment, beginning circa August 17, 2026, and ending circa May 18, 2027. Once again, the Project Assistant position can only be extended to enrolled full-time graduate students in departments at the University of Wisconsin-Madison, who have already managed the student visa process (if foreign).

The purpose of the PAship is: (1) to help European Studies locate and compile data for grant applications anticipated during the academic year; 2) to interface extensively with incoming guests for event management, with in-person, hybrid and digital events and meetings (primarily on Zoom); and (3) to assist in maintaining an effective and attractive website presence for our various campus, local, national, and international constituencies; and (4) to aid with building undergraduate, graduate, and community groups affiliated with European Studies, with a specific emphasis this academic year on Artificial Intelligence. We are especially interested in applications from students whose academic work focuses on some aspect of regional and international studies, who anticipate careers that might involve administration to some extent, and who would appreciate receiving training, experience, and mentoring in international studies administration.

Schedule:

The PA must be able to adjust their schedule to ensure that the office is regularly staffed, following all University-level dictates concerning presence in the office. Work falls primarily in the afternoons, and an occasional evening and/or Saturday each semester.

As the Project Assistant appointment will be at 50 percent, it requires 20 hours of work per week, with compensation at the standard 50 percent PA level, full tuition remission, and other assistantship benefits. Occupants of the PAships work during winter and spring breaks—these are nine-month (not semester) appointments per University policy.

Qualifications:

Applicants must be UW-Madison full-time graduate students in good standing (or enrolling for AY 2026-27 in the fall), making normal progress toward a graduate degree. Ideally, they should have experience outside the United States and be currently working on a degree that has an international research dimension, ideally including sustained research abroad. Evidence of writing skills in English will be required.

Knowledge, Skills & Abilities:

Practical requirements include demonstrated administrative experience in particular with coordinating faculty/student activities and processing documents; communication skills which are consistent whether in person or virtually, including greeting our constituencies and writing compelling test for publicity; basic computer skills; and have experience in cross-cultural issues. Good organizational skills and attention to detail are mandatory qualifications; and as such evidence of attention to detail is required. A working knowledge of one European language other than Spanish or English would be welcome, though is not required.

Position Summary/Job Duties:

• Assistance in application, report, and compliance of external (often foreign) research grants, including careful compilation of data for entry into on-line reporting systems.
• Event planning, including content planning and logistics such as venue selection and reservations, program design, aiding other staff with air ticketing, hotel booking, publicity, and communication with participants and campus financial specialists to ensure proper documentation and timely payment of honoraria or reimbursements.
• European Studies communication, including crafting compelling content on multiple platforms to inform campus and off-campus constituencies of activities, opportunities, and events in international studies, in the form of a weekly list-serve and social media releases.
• Working with our business/operations office, requiring familiarity with databases & spreadsheets, ability to adapt to new systems quickly, highly attentive to detail while processing data & forms rapidly, and an ability to manage sometimes-confidential information.
• Layout, editing, author/editor communications, marketing, and other work associated with journals and publications based in European Studies.
• Assist European Studies Assistant Director with website maintenance and updating content. A working knowledge of html/css, proficiency in customizing WordPress templates, and experience with both website design and maintenance would be useful, and willing to learn these mandatory.
• Other outreach and administrative work as assigned, particularly occasional visits to undergraduate courses to explain programming and distribute materials.
