Department Overview:

The University of Wisconsin–Madison is proud to train over 1,100 postdocs each year. Postdoctoral trainees are vital to UW–Madison’s research enterprise, performing research in fields ranging from astronomy to history. They require specialized mentoring and training resources, support and opportunities that differ from those provided to students, staff, and faculty. The Office of Postdoctoral Affairs seeks to address this need.

Anticipated Hours Per Week:

Minimum: 8 hours per week Maximum: 12 hours per week

Schedule:

A typical week includes 8–12 hours of work in 2–4-hour blocks during normal business hours (8–5 pm Monday to Friday). Hours can be adjusted during midterms, finals, and other busy periods in the academic year. There is an opportunity for additional hours during the summer and school breaks.

Salary/Wage Range/Lump Sum:

Minimum: $15.00 per hour Maximum: $16.00 per hour

Qualifications:

Strong working knowledge of Microsoft Excel.

Knowledge, Skills & Abilities:

• Strong attention to detail.
• Ability to follow directions and complete routine tasks accurately.
• Ability to manage time effectively and communicate professionally.
• Interest in developing professional administrative and organizational skills.

Position Summary/Job Duties:

• Assembling the office's weekly electronic newsletter and tracking future content.
• Updating the office's website using WordPress.
• Performing simple data analysis tasks in Microsoft Excel.
• Updating and maintaining office event calendars.
• Formatting documents, spreadsheets, and other materials.
• Entering and reviewing data for accuracy.
• Printing, scanning, and organizing office records and materials.
• Conducting basic online research, such as identifying current employment information of postdoc alumni.
• Assisting with special projects and other administrative tasks as assigned.
• Following written and verbal instructions and completing tasks independently.

Physical Demands:

This position primarily involves sedentary office work, including using a computer, communicating in-person and electronically, and handling printed materials. Occasional standing, walking, bending, and lifting of office supplies or materials up to 10 pounds may be required.
