Department Overview:

The Alumni Relations (AR) department at the Wisconsin School of Business does a wide range of communications, events and other touch points to foster community with the school's growing network of over 45,000 alumni.

Hours: Flexible between 8 a.m. – 5:00 p.m.
Days: Flexible between Monday – Friday

Location: Hybrid position with at least some hours worked in-person on Tuesdays and/or Wednesdays in 5110 Grainger Hall. Other hours may be worked remotely.

Qualifications:

Required Qualifications:
The candidate must be a current UW–Madison student.
Experience with writing, editing, or content creation

Preferred Qualifications:
Experience planning or supporting events
Experience with Microsoft 365 products (including Excel, Word, Teams, and Outlook)
Experience with Google Workspace (include Drive, Docs, and Sheets)
Familiarity with Associated Press style
Experience with project management software
Experience working on a cross-functional team

Knowledge, Skills & Abilities:

The ideal candidate will be a student studying communications, marketing, or related area of study. Must demonstrate a high level of responsibility and reliability, positive attitude, great attention to detail, problem solving, and creative thinking.

Position Summary/Job Duties:

Primary duties include:

1. Organize alumni-submitted content: Oversee process of collecting, editing, organizing, and publishing alumni-submitted Class Notes for the school's alumni magazine, Update. This includes selecting submissions for print and digital versions of the magazine, verifying education information using internal databases, and pulling photos.

2. Provide editorial support: Audit alumni profiles and spotlights on a regular basis, help maintain and contribute to alumni databases, distribute publications throughout Grainger Hall. Research and identify alumni for potential stories/speaking opportunities and pitch ideas to the editorial team.

3. Write for the alumni audience: Contribute copy for social media, emails, and web, as needed, including contributing ideas and content for the Wisconsin Business Alumni LinkedIn group.

4. Manage lists and data: Request, edit, build, and organize lists of alumni information, ensuring data quality, accuracy, and confidentiality.

5. Work with alumni board: Create content and coordinate efforts for the Wisconsin Business Alumni Board, including repurposing long-form content for social media, generating board-ready storytelling materials, managing logistics for board meetings, and updating board member web profiles as needed.

6. Support event logistics: Assist with name tags, support and staff student-facing and internal events, and oversee event websites.

7. Be our jack-of-all-trades: Support Alumni Relations staff in other communication and event-related duties on an as-needed basis, including logistics assistance with new initiatives, file organization, and general administrative support.
