Position Summary

The Columbia University Department of Psychiatry is looking to hire a full-time Project Coordinator for a position that is based in New York, NY. This individual will provide daily operational and project support for clinical programs and the broader organization.

The Project Coordinator will play an essential role in the Columbia University Department of Psychiatry by providing excellent project management and operational support to the department’s clinical programs as well as coordination of broader departmental initiatives across Senior Leadership and the Office of Diversity, Equity, and Inclusion. The Project Coordinator will manage key projects and deliverables to support clinical program leaders and drive various initiatives across clinical programs and the department to successful completion. They will coordinate all phases of project management and research including planning, executing, monitoring, and closing. The Project Coordinator will work on communications and correspondence and will serve as a liaison on key initiatives with strategic partners both within and outside of the organization. This role operates alongside clinical and departmental leaders with a range of responsibilities.


Responsibilities

  • Handling inventory for paper, record forms and utilizing centralized system across locations for ordering.
  • Streamlining ordering schedules for each site (ideally on quarterly basis based on test inventory).
  • Scheduling collateral calls with teachers (pediatric cases only) and other providers following the parent/individual intake.
  • Collecting previous records, IEPs, report cards/progress reports, and previous records from schools/parents.
  • Sending out teacher and parent rating forms via online system or pdf.
  • Scoring teacher and parent rating scales and prepping appendix for report.
  • Managing label submissions, and scoring/entering certain scores into data tables for report readiness and uploading reports for Epic.
  • Scanning charts onto P drive (currently covered by front desk team).
  • Assisting senior leadership with diversity equity and inclusion duties, including coordinative events, scheduling meetings; providing clerical support, and creating PowerPoints/templates/minutes/agendas.
  • Perform general administrative functions, and related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Bachelor's degree in healthcare management or other related discipline or equivalent in education and experience, plus three years of related experience.

Preferred Qualifications

  • Prior experience working in an academic environment or healthcare setting.
  • Completion of administrative fellowship experience.
  • Strong communication skills required including written, verbal and presentation skills.
  • Must possess strong interpersonal skills and ability to work effectively with all levels of faculty, staff, and administrators across departments.
  • Excellent time management skills as well as the ability to organize events and materials.
  • Ability to exercise good judgment and discretion in handling confidential and sensitive data.

Other Requirements

  • Must successfully complete all online systems training requirements.
  • Ability to produce deliverables and outcomes with sometimes limited direction; a self-starter that takes initiative.
  • Ability to compile statistical data and reports.
  • Proficient in Microsoft applications including Outlook, Word, Excel, PowerPoint, and others.
