The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Coordinator will support the event planning teams on assigned events and program management of University Programs and Events (UPE) in the Office of the President. The incumbent must demonstrate a high-level of customer service via all communication channels (e-mail, phone, and in-person), exercise independent judgment and confidentiality, and function with minimal supervision in a fast-paced environment.
Responsibilities
- Provides research, logistical, and communications support to UPE’s annual portfolio of events, including World Leaders Forum and Commencement.
- Manages website, social media, registration, marketing, and project management platforms under the supervision of the Associate Director of UPE.
- Responsible for drafting and editing marketing and communications assets for assigned projects.
- Provides support for all aspects of customer service for UPE, including answering and monitoring event-related phone lines and e-mail, and drafting and adapting FAQs. Develops customer service templates in coordination with event logistics to properly reflect pertinent details in public communications.
- Responsible for ongoing evaluation and copyediting of event materials.
- Researches technologies and best practices trends on registration and event software platforms, and is responsible for the ongoing updates of event technology needs.
- Responsible for maintaining communications calendar and executing on-campus, external, and digital mailings as they relate to assigned events.
- Manages on-site check-in, proactively providing information to guests and participants. Provides excellent customer service, by demonstrating professionalism, and impeccable interpersonal communication skills with Office of the President colleagues, event participants, partners, vendors, event phone lines, and inboxes.
- Responsible for registration management. Creates and uploads registration lists and links; downloads, sorts, and compiles registration data for use at events and programs; and provides regular updates to planning teams. Anticipates and prepares the registration and supply needs for events.
- Responsible for post-event wrap-up tasks such as archiving event photos and collateral materials, and capturing data for analysis and reporting. Captures post-event reflections for future learnings.
- Maintains systemized processes and procedures, and suggests improvements for tracking program developments. Establishes and builds relationships with key stakeholder offices. Manages content updates and suggests improvements for internal databases.
- Assists the Director and Associate Directors with special projects. Provides project support and liaison functions for the team as required.

Minimum Qualifications
- Bachelor's degree or its equivalent required.
Additional Position-Specific Minimum Qualifications
- Proficiency in MS Office, Google Suite, Zoom webinar, platforms for link tracking, email marketing systems, Adobe Creative Cloud, Canva, and web content management systems such as Drupal.
- Must demonstrate the ability to work in a fast-paced environment while maintaining a calm and professional demeanor.
- Excellent communication skills required, both written and verbal.
- Ability to handle multiple tasks and meet deadlines under pressure and with accuracy is required.
- Exceptional organizational skills with the ability to exercise a high degree of diplomacy, discretion, collaboration, and problem solving required. Highly detail oriented with exceptional organizational skills.
- Confidentiality and discretion are required.
- Some evening and weekend work required.
Preferred Qualifications
- Two years event production experience preferred.
- Experience in a university, major cultural institution or other comparable environment is desirable.
