The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Executive Assistant and Projects Coordinator will serve as a central resource for the Columbia College Office of the Dean with the coordination of projects and logistics as well as provide executive-level administrative support to senior members of the Dean’s Office.


Responsibilities

  • Serve as the point of contact and resource referral for Dean’s Office inquiries using appropriate judgement and professionalism to determine responses. Coordinate the operations of the Office of the Dean to create and facilitate a well-functioning office environment that is attuned and responsive to the needs of the College’s varied constituencies – students, families, faculty, staff, alumni and University partners.  
  • Provide confidential, executive-level support to members of the Dean’s Office leadership team which include managing extensive calendars and preparing complex correspondence with minimal oversight. Develop and maintain systems and processes to facilitate the effective management of deliverables. Follow up as needed with appropriate staff members regarding assigned tasks and projects. 
  • Work independently to support ongoing and ad hoc meetings and projects for a wide range of constituencies such as meetings with faculty, students and alumni, the Dean’s research initiatives and the College’s Board of Visitors. This includes preparation of materials, researching projects on policies and trends, managing school or department-wide initiatives, and other project support as needed. Provide logistical and administrative support for working groups that are led and/or coordinated by the Dean’s Office. Contribute to the support of events, programs, and projects for the Columbia College Dean’s Office. 
  • Manage financial administration activities of the Office of the Dean and the Dean’s research initiatives including procurement, payment processing and preparing reimbursements. Process accounts payable and purchasing transactions including check requests, purchase orders, requisitions, invoices, reimbursements, and travel and business expenses, reconcile vendor payments and resolve any financial processing issues with vendors, managers, and Columbia College Finance. Arrange for the Dean’s travel.  Serve as cardholder for the departmental purchasing card and reconcile P-Card transactions in a timely manner to ensure all the transactions comply with University procedures, deadlines, and accurate distribution of costs.
  • Provide facilities/operations support for designated Dean’s Office spaces. 
  • Perform other related duties as assigned. 

Minimum Qualifications

  • Bachelor’s degree and/or its equivalent related experience required.
  • Minimum of two years of relevant experience required.
  • Exceptional written and verbal communication skills with evidence of patience, diplomacy, professionalism, sound judgment and discretion.
  • Ability to juggle multiple, competing priorities in a fast paced, complex environment with limited direction and with superior attention to detail.
  • Superior professional interpersonal relationship building and management skills, with demonstrated ability to work both within a team and independently.
  • Ability to manage confidential, sensitive information appropriately.
  • Demonstrated proficiency in working with the Microsoft Office Suite.

Preferred Qualifications

  • Project management experience highly preferred.
  • Preference for related experience in a higher education institution or other highly complex organization.
