The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Student Affairs Coordinator plays a crucial role in providing administrative and operational support to the Office of Student Affairs. This position involves serving as the central point of contact for student inquiries, managing various administrative tasks, facilitating student accommodations, coordinating events, and ensuring the smooth functioning of essential student affairs processes.


Responsibilities

The Student Affairs Coordinator will be responsible for, but not limited to:

Point of Contact for Student Affairs:

  • Manage the student affairs exchange inbox, responding promptly to student inquiries and directing them to the appropriate resources.
  • Handle student affairs telephone inquiries, providing accurate information and assistance.
  • Welcome and assist students during walk-in visits, addressing their needs and concerns effectively.

Degree Verifications and Credentialing:

  • Oversee the process of collecting and managing degree verification and credentialing forms, ensuring accuracy and timely submission.

Student Disability Accommodations:

  • Act as the primary liaison with the Office of Student Disability to ensure the college's compliance with student accommodation implementation.
  • Collaborate with faculty and staff to facilitate appropriate accommodations and support services for eligible students.
  • Oversee and maintain the Dropbox Pro account dedicated to notetaking, prioritizing the preservation of confidentiality for both note-takers and note-recipients.

Administrative Support:

  • Coordinate and facilitate committee meetings, specifically the Student Affairs Advisory Meetings, ensuring smooth communication and efficient scheduling.
  • Manage the scheduling of the Academic Dean's calendar, optimizing time allocation for student affairs-related activities.
  • Handle student externship forms and provide letters of good standing upon request.
  • Establish and managed diverse class listservs, proactively resolving issues to ensure seamless communication and collaboration within academic cohorts.

Event Support:

  • Assist in the planning and execution of college-sponsored events such as white coat ceremonies, orientation, clinician ceremonies, class days, and graduations.
  • Manage logistical details, vendor communication, and event budgets to ensure successful outcomes.
  • Play an active role onsite during events to ensure seamless coordination and execution.

Predoctoral Student Management Records:

  • Maintain and manage the roster of predoctoral students requiring Basic Life Support (BLS) training.
  • Coordinate BLS training sessions and ensure that predoctoral students meet the required training standards.
  • Manage and maintain accurate student records, including photo rosters, emergency contacts and demographic information.

Financial Transactions:

  • Process financial transactions, including invoice payments, creation of purchase orders, deposits, and expense reimbursements related to student affairs activities.

Institutional Evaluation Letters:

  • Assist in the preparation of institutional evaluation letters by accurately entering data into the recommendation portal.
  • Other duties as assigned.

Minimum Qualifications

  • Requires a Bachelor’s degree or equivalent in education and experience, plus three years of related experience.

Preferred Qualifications 

  • Master’s degree

Other Requirements

  • Strong organizational and multitasking skills to handle diverse responsibilities effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in business software applications (Excel, Word, PowerPoint, Outlook e-mail, Outlook calendar, etc.) 
  • Ability to work collaboratively with students, faculty, staff, and external vendors.
  • Attention to detail and commitment to maintaining accuracy in all tasks.
  • Proven track record of handling sensitive information with the highest level of professionalism and confidentiality
