Position Summary

The Vagelos College of Physicians & Surgeons (VP&S) Office for Research is seeking to hire a Finance and Research Operations Manager to manage the key financial and business aspects of newly-established institutional core research facilities, including the Biobanking Resource for Investigating Disease, Genes, and Environment (BRIDGE) and the Columbia University Cryo-Electron Microscopy Center (CEC), as well as assist departments and centers with the financial and business related activities in the core and shared research facilities in the Vagelos College of Physician & Surgeons at Columbia University Irving Medical Center.

Core facilities and shared research resources offer services to the Columbia University research community, including cutting edge technologies, high-end instrumentation, and technical support and expertise in specialized equipment or processes. The medical school offers greater than 20 of these facilities that are managed in the departments, centers, and institutes.  We are seeking candidates with a proven ability to help core/shared research facilities to successfully accomplish their research and business objectives. Working with the Assistant Director of Research Budgeting and Planning, the manager will assist the core and department staff in the development of their core facility operating budgets and core rate licenses, and support the optimal use of the core-related technologies and services. Reporting to the Assistant Director of Research Financial Planning and Analysis, the finance and research operations manager is a key member of the VP&S Office for Research team and will work to further promote and improve the scientific environment in the medical school. 

The manager will manage the annual licensing of cores, monitor recoveries and utilization of core services, and will advise departments in the development of their core operating budget and the establishment of their fee schedules.

May require flexible hours and willingness to work on weekends. 


Responsibilities

  • Financial management of BRIDGE, the Columbia Cryo-EM Center, and other central Core Facilities:

    • Prepare monthly billing transaction details for incorporation into invoices
    • Work with core supervisors and project managers to facilitate monthly billing
    • Prepare and submit monthly invoices to study investigators
    • Prepare and submit monthly journal entries
    • Prepare monthly revenue summaries and utilization summaries for Executive and Operations Committees
    • Create annual budget
    • Monitor monthly budgets, personnel allocations and other expenses.
    • Prepare quarterly accounts receivable summaries
    • Work with core staff to recover overdue accounts receivable
    • Ensure monthly and yearly financial deadlines are met
    • Work with core technical staff on developing documentation for updates and improvements

    Core and shared research resources operating budgets, rates, and recoveries:

    • Work with Department Administrators and Core Facility Directors to develop annual core business strategies, operating budgets and rate licenses
    • Advise on financial strategies for managing subsidies, grants, and equipment related to cores
    • Monitor monthly invoicing activity and report to the Assistant Director of Research Financial Planning and Analysis and the Director of Core Reseach Technologies
    • Create monthly reports to monitor recoveries, utilization of equipment and services
  • Core and shared research resources business development:

    • Work with Department Administrators and Core Facility Directors to develop annual core business strategies
    • Assist in establishing new core facilities on the core management system (iLab)
    • Develop and maintain research core communications. For example: maintaining the VP&S Core and Shared Facility webpage

    Other Research Operations:

    • Assist the Assistant Director and Director of Core Research Technologies with evaluations of equipment, space, and renovation projects to enable core facilities and research laboratories to carry out their scientific functions
    • Assist with the preparation of leases and negotiated contracts to support core activities, check requests, etc.
    • Assist core staff in annual review and updating of SOP documentation.
    • Perform financial transactions to support operations of the Office for Research as needed
    Other duties as assigned.

Minimum Qualifications

  • A Bachelor's degree or equivalent in education and experience, plus 4 years of related experience required 

Preferred Qualifications

  • An advanced degree, MS or MBA with experience in an academic research center is preferred.  Institutional knowledge; history of working in an academic setting; experience working with financial systems (including ARC), experience organizing financial and other data for reports, experience using the Agilent iLab Management System Software or similar software; familiarity with Core Facilities at CUIMC. 

Other Requirements

  • BA or BS in business or quantitative field such as accounting, finance, or other related field; 
  • Excellent skills in verbal, writing, oral communication;
  • An ability to organize and direct major projects and/or administrative operations;
  • A proven track record research administration experience;
  • An understanding of core facility budgeting processes;
  • Understanding of the goals and operations of Core Facilities;
  • Some experience with lab operations of research laboratories, including regulatory, equipment, and physical operation requirements
  • An ability to take initiative, provide creative ideas and solutions as well was work in a timely fashion to complete projects;
  • Strong interpersonal skills and ability to interact and deal effectively with all levels of administration (faculty, staff, deans, etc.).
  • Knowledge of research core operations.
