The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

Who We Are:

The Office of Religious Life supports the religious and spiritual needs of all students, faculty, and staff at Columbia University. Our programming, consultation, and counseling services support the spiritual well-being of our diverse individuals and communities.

Our office is situated within the wider ‘umbrella’ of the University Life division. University Life is a central division focused on enhancing the student experience for all students across Columbia’s 17 schools and colleges. We serve as a student life hub for the University and are committed to promoting an inclusive campus culture where students can thrive in all dimensions of their lives. 

The Opportunity:

Reporting to the Dean of Religious Life, the Administrative Coordinator supports the mission of the Earl Hall Center for Religious Life by managing and executing a wide range of administrative functions related to religious programming at the University.


Responsibilities

  • Manage communications that come into the Center, serving as the Earl Hall Center receptionist
  • Manage calendar scheduling for the Dean, and assist with space/programming and travel requests for 3 Center Staff Members.
  • Compose correspondence, develop briefings, take meeting notes, and create/distribute physical and digital advertisements 
  • Prepare relevant business reports, presentations, and meeting materials. 
  • Oversee data-management systems (including Google Forms, and attendance-tracking systems) listservs, and contacts 
  • Help maintain the appearance, equipment, and resources of the office; Maintain inventory of office supplies
  • Work closely with the programming team to facilitate Religious Life programming, including in-person support at events 
  • Timely and accurate processing of invoices, expense reports, check requests and other financial paperwork; establishes the internal tracking system for all office-related expenses
  • Use the University's online financial management tool (ARC) to reconcile P-card purchases, process new vendor requests, submit purchase orders, execute check requests for payment/reimbursement, deposits and processes vouchers, internal transfers
  • Submit work orders/tickets for Facilities and IT-specific needs for the office. Liaison with the Operations Manager on completion of work orders.
  • Work with the Operations Manager to create room/venue reservation entries for Religious Life within the Virtual Event Management System (EMS) and process/execute rental orders within EMS.
  • Manage Catering orders for regular programming
  • Work independently on projects, ensuring that they are accomplished in a timely and accurate manner, providing necessary updates and status reports as needed. 
  • Help the office respond to urgent, real-time needs that may arise, with an acute sensitivity to religious and spiritual life needs at the university. 
  • Perform additional duties as assigned

Minimum Qualifications

  • Bachelor’s degree and a minimum of two years of administrative support, coordination experience, or the equivalent combination of education and experience required. 
  • Excellent oral and written communication skills, and a strong commitment to providing high-quality care and service.
  • Computer literacy with experience in Microsoft Office and Google Suite (Gmail, Drive, Docs).
  • Must be able to manage multiple competing priorities and projects, be sensitive in highly emotional situations, must consistently exercise discretion and excellent judgment. 
  • Occasional evening and weekend hours required
  • Must be able to work with diverse constituencies and support an inclusive work environment.
  • Respect for the services, observances, and unique sensitivities of all religious traditions is essential

Preferred Qualifications

  • Willing to learn new processes and technologies as needed
  • Well-organized, detail-oriented, and works well under pressure, managing multiple responsibilities simultaneously
  • Calm, welcoming demeanor and ability to maintain a sense of humor in a fast-paced environment while getting work done is essential
  • Asana, and/or other similar office productivity platforms are a plus
