Position Summary

Columbia University College of Dental Medicine is seeking a collaborative and organized individual with strong communication skills to serve as the Intake Coordinator.  The Intake Coordinator will support the College of Dental Medicine General Dentistry Clinics and provide both clinical and administrative support to ensure all new general dentistry patients have a smooth and comprehensive experience establishing care at CDM. The coordinator will liaise between patients, Dental Students and Faculty and Staff to ensure that patients are properly placed within the appropriate dental care teams. This position will be reporting to the Director of Clinic Operations for General Dentistry.


Responsibilities

The Intake Coordinator will be responsible for, but not limited to:

  • Manage patient intake process in collaboration with clinical Faculty.
  • Evaluate if patients are candidates for care within the dental teaching clinics. If so, ensure patients are appropriately assigned from Intake area to either D4 comp care, D3 comp care or referred to appropriate post graduate program.
  • Oversee student dental assessment of patients, providing clinical guidance and input on dental exams.
  • Serve as first point of contact for new dental clinic patients, educating them on the teaching clinic model.
  • Support process improvement initiatives including referral process optimization, including Epic electronic health record documentation.
  • Create a welcoming environment that puts patients at ease and introduces them to the teaching clinics that offer a world class experience.
  • Collaborate with Graduate Practice Administrators as needed given scheduling necessities, as well as Administrative Clerks (Schedulers, PSRs).
  • Collaborate with interprofessional teams on care delivery.
  • Support and onboard students to intake rotation
  • Support group practices with patient matching and optimize student experience.
  • Participate with adoption of dental technologies, and aid in screening of patient assignments.
  • Maintain flexibility regarding scheduling changes, communicating changes to patients, partners and team members.
  • Facilitate occasional need for continuity of care with a specific student provider.
  • Coordinate the completion of all necessary paperwork (i.e. patient charts, referrals, appointment cards, welcome packets and treatment plan forms) as part of the pre- and post-visit in accordance with legal, risk management and regulatory compliance, i.e. HIPAA Consents, department of education/department of health consents for care, parent engagement information packets. 

Minimum Qualifications

  • Requires a Bachelor’s degree or equivalent in education and experience, plus three years of related experience.

Preferred Qualifications

  • Minimum of two years’ experience in dental office environment.
  • Principles of business letter and report writing experience.
  • Intermediate level of Microsoft Word, Excel and email systems.
  • Aptitude to understand Dental terminology and treatment planning.
  • Flexibility to work extended hours occasionally.
  • Epic Dental Software Program or other clinic patient information system experience.
  • Detail-orientated with the ability to manage multiple projects at a time and work under pressure with minimal supervision.
  • Maintain professional demeanor in stressful and taxing environments.
  • Maintain confidentiality of materials and information.
  • Manage time, organize duties and assignments, and set priorities to meet multiple deadlines.
  • Demonstrate effective and professional written and verbal communication skills with all constituents.
  • Demonstrate strong attention to detail.
  • Demonstrate problem solving and follow-through skills.
  • Demonstrate ability to be flexible and accommodating with changes that happen upon short notice.

Other Requirements

  • Successful completion of a Dental Hygiene Program of Study that is approved / registered through the New York State Office of Professions.
  • Successful completion of the National Board Dental Hygiene Examination and the American Board of Dental Examiners (ADEX) Clinical Dental Hygiene Examination.
  • New York State Licensure as a Registered Dental Hygienist (RDH).
