The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Senior Assistant Dean, the incumbent provides comprehensive administrative support for the day-to-day operations of the SIPA Office of Student Affairs (OSA).

Responsibilities

Programming support: Provides support with preparations and programming for Fall and Spring orientations, graduation and other OSA events and initiatives.  Orientation and Graduation planning includes coordination of sessions, event planning and producing materials for the events.

Communications assistance:  Manages the main SIPA OSA email account: sipa_osa@columbia.edu.  Assists in reviewing the accuracy of the information and forms on the OSA web page and other OSA online resources and updates such content. Handles broadcast emails and announcements to students and other recipients; maintains distribution lists used by OSA.  Point-person for inquiries from students, staff, and faculty on CampusGroups. Assists with Summer communication with new MIA and MPA students.  Directs and/or answers queries from current and admitted students submitted online and via email, as well as directly from students in the office.

Document preparation:  Designs and produces recruitment posters, various applications, in-house manuals and other forms as needed.  Produces form letters for students for visas, employment and other verifications of status. Provides support for the assistantship process (including processing contracts in Docusign)

Examination support:  Schedules and proctors proficiency exams, notifies students of results, and coordinates recording of results in student files and SIS records.  Acts as liaison between OSA and language departments, and updates language proficiency information.  Assists with exam accommodations and proctoring for ODS-approved students and for make-up exams.

Registration: Provides support for SIPA registration; duties include processing registration transactions using the Student Information Systems (SIS), registration announcements, maintaining the concentration/specialization change process

In the absence of the Administrative Assistant, assists with reception and general office management.

Performs related duties as assigned.


Minimum Qualifications

  • High school diploma or its equivalent required
  • Minimum of three years of fulltime related experience required
  • Must have excellent written/verbal communication, interpersonal and organizations skills
  • Must be highly skilled in Microsoft Office Suite, especially Word and Excel
  • Proficiency in manipulating mainframe databases essential

Preferred Qualifications

  • College degree strongly preferred
  • Prior work experience in an university setting preferred
  • Knowledge of Student Information Systems desirable
