The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Director of Finance and Administration, HR and Events Operations Manager willl play a pivotal role in managing the human resources, operations, and event planning functions of the Chemical Engineering Department (CHEME) at Columbia Engineering. The successful candidate will demonstrate expertise in initiating, reviewing, and tracking personnel transactions while ensuring compliance with University policies. Additionally, they will manage a diverse portfolio of events and programs, contributing to the overall success and visibility of the Department.


Responsibilities

  • (50%) Human Resources: Coordination of Hiring, Appointments, and Personnel Transactions
    • Initiate, review, and track Personnel Action Forms (PAF), Nomination forms, and other HR items for academic and administrative positions at CHEME.
    • Collaborate with CHEME DFA, advising on faculty affairs and HR issues with independent judgment and professionalism.
    • Coordinate submission of Adjunct faculty documents, maintaining applicant lists and resumes for review.
    • Manage recruitment of faculty and researcher positions using Columbia's job site and update the faculty recruiting database.
    • Oversee immigration-related needs of faculty and researchers, processing sponsorship and extension requests for J, H, O, and TN visa holders.
    • Serve as the first point of contact for adjunct affairs, including nominations, orientation files, semester parking requests, and space access.
  • (35%) Event Management:
    • Plan, develop, and budget for departmental events, including conferences, colloquia, seminars, and special events.
    • Coordinate logistics and information dissemination for events, including speaker travel arrangements and reimbursements.
    • Develop strategies for national and international promotion of the Department's research and academic accomplishments.
    • Coordinate meetings and travel arrangements for visiting scientists and CU personnel.
    • Manage program and event publicity in print and electronic formats, including outreach activities
  • (10%) Operational Support:
    • Oversee day-to-day office operations and maintenance of directories.
    • Play a central role in ensuring smooth functioning of CHEME and effective dissemination of information to various stakeholders.
  • (5%) Other duties assigned

Minimum Qualifications

• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• A minimum of three years of proven experience in human resources management, operations, and event planning, preferably in an academic or research institution.
• Demonstrated expertise in initiating, reviewing, and tracking personnel transactions, ensuring compliance with University policies.
• Experience in managing a diverse portfolio of events, including planning, budgeting, and execution.
• In-depth knowledge of academic and administrative hiring processes.
• Familiarity with Personnel Action Forms (PAF), Nomination forms, and other HR items.
• Ability to collaborate with diverse stakeholders, including providing independent judgment and professionalism in faculty affairs and HR issues.
• Experience coordinating Adjunct faculty submissions, maintaining applicant lists, and facilitating recruitment processes.
• Familiarity with Columbia's job site and expertise in updating and managing the faculty recruiting database.
• Understanding of immigration-related processes for faculty and researchers, including sponsorship and extension requests for J, H, O, and TN visa holders.
• Proven experience in planning, developing, and budgeting for a variety of events, including conferences, colloquia, seminars, and special events.
• Strong organizational skills to coordinate logistics, speaker travel arrangements, and reimbursements for events.
• Ability to develop and implement strategies for the national and international promotion of academic research and
• Familiarity with program and event publicity in print and electronic formats, including outreach activities.
• Demonstrated ability to oversee day-to-day office operations and maintain directories effectively.
• Strong communication skills, both written and oral, to play a central role in ensuring the smooth functioning of CHEME and the effective dissemination of information to various stakeholders.
• Proven attention to detail and ability to handle confidential information discreetly.
• Excellent writing, organizational, interpersonal skills, and strong computer skills.
• Ability to work independently in a dynamic environment with changing priorities.
