The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

This position reports to the Senior Associate Director of Development and provides administrative support for two (2) development officers as well as the overall development activities of the School of the Arts and Miller Theater, including extensive correspondence with donors, managing stewardship activities, coordinating events, and producing fund raising materials. The position supports the department’s work to raise funds, organize cultivation events and prepare stewardship reports, to benefit the School.


Responsibilities

Responsibilities include, but are not limited to, the following:

  • The Development Assistant answers phones, coordinates the gift officers' calendars, processes expense reports, and makes travel arrangements.
  • Maintains the digital and physical filing system for all Development Office correspondence, alumni achievements and biographical files, archival records, and other items; and maintains prospect, donor, alumni and student files, including distribution-ready copies as required.
  • Coordinates the development calendars and assists with the preparation of proposals to individuals, foundations, and government agencies along with other correspondence.
  • Supports production of mailings, deposits and tracks gifts, produces comparative reports of results, and prepares and tracks thank you letters.
  • Assists in the preparation of stewardship and grant reports. Maintains various mailing lists and interfaces with all units of the School, Miller Theater, and with the Office of Alumni and Development.
  • Maintains databases, including data entry and activities tracking, acting as database advisor for gifts officers.
  • Generates event-specific mailing lists; assists in the design and production of invitations and programs; supports development/alumni events, assisting with arrangements for space, catering, staffing, security, facilities, audiovisual, and other requirements of the event; assists in evaluating each event and maintains an archive with samples from each event.
  • Assists in the preparation of reports, correspondence, solicitation materials, invitations to cultivation events, stewardship reports, and memos.
  • Performs other duties as assigned.

Minimum Qualifications

High school diploma and a minimum of three (3) years of related experience, or the equivalent combination of education and experience, is required.

  • Excellent interpersonal, organizational, and oral and written communication skills required.
  • Ability to work on concurrent projects and multiple deadlines with minimum supervision required.
  • Ability to work with high-level individuals and to handle sensitive and confidential material with tact and discretion required.
  • Excellent attention to detail and demonstrated use of initiative required.
  • Two (2) years of intensive computer experience including database management and/or desktop publishing required.
  • Occasional evening and weekend work required.

Preferred Qualifications

  • Knowledge of Microsoft Excel and Word, and fundraising software (Raisers Edge, Advance, Giftworks or comparable system) preferred.
  • An understanding of and/or interest in grant proposal writing, fundraising research tools, and experience in planning and implementing special events preferred.
