The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Working in the Columbia Mailman School of Public Health (MSPH) Development and Alumni Relations Department, this position is responsible for administrative activities that support Board management, external communications, Annual Fund, Alumni Relations and Donor Stewardship. External Relations Coordinator works collaboratively across the team bringing all together in support of MSPH fundraising.

This position supports the External Relations team and reports to the Assistant Dean for External Relations. As the External Relations Coordinator for the External Relations team, they manage a range of team-wide efforts as well and projects. They are a process-oriented, strategic thinker who anticipates and proactively resolves problems, excels at multi-tasking, is a team player, is flexible and adaptable, and has strong project management skills. They deliver excellent customer service and work collaboratively with other support staff and colleagues. In addition to providing day-to-day administrative support, this individual owns substantive projects for the team.


Responsibilities

  • Assists the Assistant Dean for External Relations with management of the Board of Advisors which can include:
    • Scheduling Board and committee meetings.
    • Distributing Board communications.
    • Taking meeting minutes for Board and committee meetings.
    • Tracking tasks and to-dos and ensuring follow-up.
    • Helping to manage the governance and nominating process for new Board members (tracking, ensuring follow-up, etc)
  • Assists the Director, Development Communications with external communications including:
    • Drafting bi-weekly news and events emails distributed to 15K+.
    • Tracking updated contact information for alumni.
    • Managing the msphalum email account.
    • Tracking open rates, click-through rates, etc., for emails.
  • In collaboration with the Assistant Dean for External Relations and Director, Development Communications, assist with the execution of annual fund, including:
    • Managing the Annual Fund calendar.
    • Tracking deadlines and ensuring content creation is complete.
    • Working with the operations team to track the success of appeals.
  • Assist the Sr. Director for Donor Engagement and Events with event execution, as needed. This could include:
    • Tracking RSVPs.
    • Assisting with day-of logistics.
  • Assist the Director, Alumni Relations with managing the Alumni Board which could include:
    • Scheduling meetings (Board and committee).
    • Ensuring follow-up and execution from meetings.
    • Assisting with tracking for the governance and nominating process.
  • Responsible for maintaining, organizing, and updating the team’s internal shared files.
  • Responsible for other administrative tasks as needed including: calendar updates, compiling research, providing event support, preparing materials for alumni meetings and correspondence, completing expense reports, entering contact reports, next steps and strategy notes.

This role is responsible for other duties as assigned.


Minimum Qualification

  • Bachelor's degree or equivalent in education and experience required.
  • Three years of experience in an administrative support role(s) and/or related experience is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.
