The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Finance and Grants Manager, reporting to the Associate Director of Finance and Operations, will play a critical role in managing financial and operational activities within the Department of Industrial Engineering and Operations (IEOR). This position requires a proactive individual with expertise in financial management, grant administration, human resources, and overall departmental operations.


Responsibilities

  • (35%)Financial responsibilities:

    Process visitor reimbursements and review faculty/staff reimbursements submitted in Concur.
    Handle invoice vouchers in the financial system and manage purchase orders and visa check requests.
    Collaborate across departments and the university to ensure compliance with financial policies and procedures.
    Automate and produce financial reports, review, forecast, and modify departmental budgets.
    Communicate financial policies to department staff and faculty.

  • (30%)Grant responsibilities:

    Review award set-up forms and budget modifications for consistency with applicable fringe, approved budgets, and available funding.
    Prepare allocations consistent with PI guidance and approved budgets for grant-funded personnel and reconcile salary distributions.
    Monitor all grant accounts, manage account reconciliations, review financial reports, resolve financial issues, and prevent overdrafts.
    Track additional compensation from grant accounts.
    Research sponsors policies and guide faculty during pre-and post-award activities.

  • (25%)Human Resource responsibilities:

    Manage the Adjunct Faculty appointment process, including creating and processing offer letters and documentation.
    Assist with the casual hiring process, ensuring hiring documentation is complete and submitted to the HR hiring system.
    Track hiring status for casual hires and adjunct faculty appointments.
    Collaborate with the Dean’s Office and external departments to ensure timely processing of all hires.
    Assist with timesheet processing and develop best practices for high-volume hiring.

 

  • (5%) Operations Responsibilities:
    Assist with IEOR Department operation management including Facilities, promotional items, office spacing.

 

  • (5%)Perform other duties as assigned.

Minimum Qualifications

  • A bachelor’s degree and a minimum of 2-4 years of related financial experience are required.

  • Must be able to learn university electronic processing systems quickly. Experience with university electronic systems (purchasing, accounts payable, payroll) and databases is strongly desirable.

  • Rigorous attention to detail and accuracy is essential; managing multiple priorities with poise and discretion is required.

  • Strong computer literacy/proficiency required: an understanding and appreciation of higher education financial system, student services database software, and on-line resources, and the willingness to respond to the needs of faculty, staff, and students in a technologically-oriented society. Proficiency with Google suite of products, MS Office (especially Excel), and publishing software, is a must.

  • Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.

  • Candidate must exercise good judgment and flexibility, with a student-wellness mindset.  Positive, mission-oriented, forward-thinking attitude and sense of humor a must.

  • Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni. Excellent command of English (verbal and written).
