About Gift Administration & Records Management

The department of Gift Administration and Records Management (GARM) is a key support component to the success of the broader Advancement unit. The GARM team works closely with Advancement Operations, development officers and other Advancement team members, partners in the Controller’s office, Internal Audit, external auditors, and other University units to manage donations to the University of Denver, ensure entry and quality, and maintain the database used to solicit and communicate with the constituent population.

Position Summary 

We are seeking an Assistant Director of Gift Administration and Records Management, under general direction of the Director of Gift Administration and Records Management, to work collaboratively with a highly talented team and the Advancement division to create a best-in-class giving, stewardship, and engagement experience for our constituency. The ideal candidate thrives in a responsive environment and has a passion for process assessment and improvement while maintaining excellent customer service to both our internal and external partners, while exhibiting excellent time management and organizational skills, partnered with a high level of attention to detail. The Assistant Director must also demonstrate strong supervisory abilities to provide day-to-day leadership of gift processing professionals.

Essential Functions

Department Leadership

  • With the support of the Director of Gift Administration and Records Management, recruits, hires, trains, and oversees the professional development of the GARM team.
  • Anticipates upcoming demands on the department and works with the Director of Gift Administration and Records Management to set deadlines and prioritization expectations.
  • Works with Advancement leadership and Director of GARM to set strategic goals for the GARM team.
  • Assists in the preparation of an annual plan outlining goals and objectives for the GARM department, taking the broader goals and objectives of the Advancement division into account, and tracks the ongoing performance of the team to ensure accomplishment of the plan.

Gift Administration Compliance

  • Ensures gifts and pledges are recorded accurately in the database (currently CRM Advance).
  • Ensures gifts and pledges are recorded in compliance with IRS and FASB standards, and CASE guidelines.
  • Oversees deposit and data entry for complex transactions including the sale of securities gifts; non-gift revenue; event revenue, pledge payments, reminders and uncollected pledges; and matching gift processing.
  • Oversees the printing and correction of daily gift receipts and end of the year giving statements.
  • Assesses, develops, and deploys policies and procedures to ensure accurate and timely gift/pledge posting and records maintenance.

Records Management Administration

  • Assists Advancement data professionals in the development of proactive strategies to improve the integrity of the data in the database. This includes collaborating on the development of reports and statistics to monitor data integrity, database changes, address accuracy, and interrelationships of data.

Expertise and Work Quality Management

  • Works independently and as a team to maintain a high standard of performance within the department.
  • Serves as a content expert by partnering with division staff and others to regularly train, mentor, and advise Advancement professionals and other University employees on best practices for gift administration and records management.
  • Develops and runs monthly reports in collaboration with the Business Intelligence and Analytics (BIA) team on the various metrics related to data entry accuracy, customer service interactions, etc.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education or work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification)
  • 3 years of experience in accounting, finance, and/or information systems with a basic understanding of accounting procedures, data collection, and complex relational databases.
  • Experience in gift processing and records/database management in a large, complex environment, including a basic understanding of IRS rules and regulations.

Preferred Qualifications

  • Experience using Ellucian’s Banner Advancement, MS Dynamics CRM Advance, or other similar CRM or relational databases.
  • Gift entry experience and familiarity with complex gift accounting and gift administration processes.
  • Experience reconciling accounts in a fund accounting system.
  • One year of supervisory experience, with a demonstrated commitment to coaching, mentoring, and developing team members.

Working Environment

  • Standard open office environment.
  • Noise level is quiet to moderate.
  • Some nights and weekend event attendance.
  • Eligible for hybrid work.

Physical Activities

  • Ability to work in front of a computer for an extended period.
  • Occasionally required to move about the office/campus 

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.  Weekends and evenings as required.

In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 10.

Salary Range:
The salary range for this position is $62,000-$72,000

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
