Department Summary

The mission of the DU Health & Counseling Center (“the HCC”, www.du.edu/hcc) is to enhance overall student well-being and success through inclusive physical and mental healthcare, prevention, education, advocacy, and recovery support services. Among its six departments, the HCC includes an on-campus medical and counseling clinic open 8am-5pm M-F, with evening hours until 7pm two evenings a week when quarter classes are in session. The HCC offers confidential medical care, mental health counseling, and psychiatric services designed to help students with mental health concerns that may be affecting their quality of life and ability to learn. Our providers include psychiatrists, psychologists, social workers, counselors, physicians, physician assistants, nurses, and nurse practitioners from diverse cultural and clinical backgrounds. The Administrative department is responsible for non-clinical operations at the HCC. Responsible for front line customer support and service, insurance and health fee programs, facility and financial operations, budget, planning, and forecasting, and departmental HR, this department supports the other HCC areas to achieve their mission. Working interactively and in a cross-trained nature, this group of staff strive to provide the highest level of care to our students through purposeful efficient and effective operations.

Position Summary

The Assistant Director – Administrative Practice Manager is a key leadership position within the Health & Counseling Center (HCC) at the University of Denver, responsible for overseeing the DU Student Health Insurance Plan (SHIP) operations. This includes managing enrollment, waiver management, and enrollee relations for the plan, which generates over $1 million in revenue with nearly 3,000 enrollees. The Assistant Director ensures smooth operations of the SHIP to provide students with access to essential healthcare coverage while maintaining effective communication and service delivery.

Additionally, this role is responsible for managing the clinical schedules for medical and counseling staff, optimizing clinical operations to ensure efficient and timely care delivery. The Assistant Director supervises the Clerical Healthcare Administration Support Team, ensuring they deliver excellent customer service to patients, visitors, and staff, while upholding the highest standards of confidentiality and professionalism in accordance with FERPA and HIPAA regulations.
In addition to administrative and clinical responsibilities, the Assistant Director is accountable for maintaining the HCC facilities and overseeing their day-to-day operations, coordinating maintenance and ensuring that the physical environment supports efficient healthcare delivery.

As a central figure in the HCC, the Assistant Director fosters a positive, student-centered environment, ensuring operational efficiency, excellent patient service, and compliance with all regulatory and institutional standards.

Essential Functions

DU Student Health Insurance Plan (SHIP)

  • Oversee, monitor, and coordinate all aspects of the DU Student Health Insurance Plan (SHIP), including vendor selection, plan benefit design, contract maintenance, and plan marketing.
  • Manage enrollment, waiver management, and enrollee relations for SHIP, which generates over $1 million in revenue with nearly 3,000 enrollees.
  • Serve as the primary contact for SHIP inquiries from students, HCC providers, DU community partners, parents, and the insurance carrier.
  • Assist the Director of Administration and Finance with contract negotiations related to SHIP.
  • Serve as a liaison between University Administration, care providers, the insurance carrier, and SHIP enrollees to ensure smooth operations and compliance.
  • Work with the Bursar’s Office to manage enrollment issues and resolve inefficiencies in the waiver process.
  • Ensure the smooth operation of SHIP to provide students with access to essential healthcare coverage while maintaining effective communication and service delivery.

Supervision

  • Supervise and support the Senior Clerical Healthcare Administrative Manager and the Clerical Healthcare Administration Support Team.
  • Ensure staff provides excellent customer service, maintains confidentiality, and adheres to HIPAA and FERPA regulations.

Health Information and Reporting

  • Assist with the creation, oversight, and maintenance of all data, records, and accounts necessary for care delivery, quality assessment, and pandemic-related testing (COVID-19).
  • Collaborate with clinical and administrative staff to develop standardized reporting for clinical initiatives, including pandemic services, vaccinations, and special population usage.
  • Manage patient communications, including generating population lists and sending standardized messages for SHIP enrollment, Immunization compliance, and HCC balance notifications.

Information Technology Support

  • Assist with maintenance and support of HCC software and IT operations.
  • Provide end-user desktop support for HCC staff in collaboration with the Director of Administration and Finance and the Assistant Director for Systems and Information.
  • Assist with staff training on practice management software, ensuring staff understand its functionality and application.
  • Maintain compliance with HIPAA IT requirements and ensure the security of all systems.

Patient Billing and Insurance Support

  • Ensure the accuracy of CPT and ICD-10 codes for patient visits, billing, and collections.
  • Assist in managing patient billing inquiries and resolving issues related to charges, collections, and insurance coverage.
  • Provide detailed insurance guidance to patients, addressing claims, billing, and eligibility questions.
  • Work with the Bursars Office and UHCSR to process SHIP enrollments, manage claims, and ensure proper coordination of insurance fees.

Patient Services

  • Act with urgency to ensure mental health crises and urgent health situations are communicated swiftly to the appropriate clinicians for rapid response.
  • Oversee patient flow, ensuring timely service delivery and resolution of scheduling issues or patient concerns.
  • Provide excellent customer service by addressing patient complaints, explaining procedures, and assisting in the resolution of issues in a calm, professional manner.
  • Instruct patients on how to submit information via the secure web portal and navigate scheduling systems.

Facility Operations

  • Review and recommend changes to the physical structure of the HCC facilities (Ritchie and Asbury).
  • Oversee the maintenance and repair of facilities, ensuring they meet operational needs.
  • Manage inventory control for supplies and equipment, ensuring all necessary materials are available for staff.

Administrative Support and Communication

  • Support administrative staff by rotating through various duties, including front desk operations and handling extended hours or staffing shortages.
  • Manage communication regarding appointments, billing, and compliance with students, parents, and HCC staff through secure messages and text reminders.
  • Assist in organizing health-related events such as flu clinics and other student health initiatives.
  • De-escalate phone calls from parents or students when necessary, ensuring effective conflict resolution and maintaining professionalism.

Medical Records and Compliance

  • Ensure the accuracy of CPT and ICD-10 codes and maintain patient electronic medical records.
  • Ensure confidentiality and compliance with FERPA and HIPAA regulations regarding all patient information.
  • Process faxes and other patient documentation, ensuring proper storage and disposal according to HCC policies.

  • Experience as an administrative supervisor in a medical/counseling office/setting.

  • 3-5 years in a supervisory capacity.
  • Experience in Electronic Medical Record software.
  • Exceptional interpersonal skills, exemplary written and oral communication skills, and strong organizational and time management abilities.
  • Ability to manage multiple projects at the same time.

Work Schedule

This position requires employees to work onsite 8:00am-5:00pm M-F with some weekends, evenings and holidays.

Salary Grade Number

The salary grade for the position is 11.

Salary Range

The salary range for this position is $68,000-$75,000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting.
