Position Summary

Reporting to the Director, Business & Operations and serving within the Kennedy Mountain Campus, Wellness and Recreation (KMCWR) Division, the Business Officer will provide an exceptional customer experience to all visitors of the Daniel L. Ritchie Center for Sports & Wellness and the James C. Kennedy Mountain Campus through managing, monitoring, and improving the daily functions/interactions that customers will have. This includes parking, facility entry and access, transaction experience (in-person and online), facility quality, communication, safety, and servicing each customer’s needs.

This position is responsible for assisting with budget and finance operations; including but not limited to; annual budget development and forecasting, hiring and payroll processes, employee on-boarding, expense reconciliation, financial reporting and systems maintenance. Other duties include managing daily deposits, membership collections, invoice billing and payment, and staff development and training.

The position has direct oversight of the RecTrac operating system that includes the set-up, maintenance, and period end processes to ensure that all accounts are reconciled correctly.

Essential Functions

Division Operations

  • Set up all passes, activities, POS and related operations within the RecTrac system.
  • Complete all month end and period end processing.
  • Maximize RecTrac/WebTrac opportunities and use of the system.
  • Establish user access and associated reports within the system.
  • Conduct training on the system for employees as necessary.
  • Enter all RecTrac programming submittals for the responsibility center and work with Vermont Systems to enhance the software functionality and performance.
  • Serves as a key liaison with Vermont Systems national office on RecTrac/WebTrac products.
  • Serve as key liaison to Parking Services for all Division parking needs; memberships, competitive programs, student programs, youth programs, and activities.

Financial

  • Execute all budget mechanisms including billing automation, online registration, front-line processing, and collections.
  • Utilize banner software to complete daily deposits to process all revenues and pay expenses.
  • Transfer revenue from holding account into budgets.
  • Establish purchase orders and check request reimbursements for all assigned business units.
  • Complete monthly collections process for all assigned business units.
  • Develop and communicate all fiscal and registration deadlines to the responsibility center.
  • Enter relevant information into Connect2 and MS Teams software for staff review and use.

Business Procedures

  • Responsible for assisting with the month end processes for the Kennedy Mountain Campus, Wellness and Recreation (KMCWR) responsibility center, including journal entries and university recharges.
  • Responsible for updating monthly revenue and expense reports for the KMCWR division.
  • Assist with the completion of KMCWR’s monthly and quarterly forecasting.
  • Assist with KMCWR quarter close processes and reconciliation including, but not limited to, Club Sports and youth competitive fundraising account close outs, receivables reconciliation and write-offs, fund reconciliations and reporting to the Director of Business and Operations and the University Controller’s office.
  • Assist with the annual budget and planning process for the KMCWR division.
  • Review and provide initial approval of p-card expense reports for the KMCWR division.

Staff Training and Development

  • Administrator of training camp programs (in-person/online) for 200+ Kennedy Mountain Campus, Wellness and Recreation (KMCWR) student and non-appointed employees including topics such as risk management, character development, leadership development, wellbeing, and customer service.
  • Coordinate divisional recruitment efforts & events for student employee and non-appointed positions.
  • Oversee & advise the Student KMCWR Leadership Council, a student organization comprised of KMCWR student employee leaders.
  • Collaborate with KMCWR Business and Operations to assist with onboarding processes for all KMCWR employees.
  • Oversee annual staff training, certification, and development budget.

Personnel

  • Hire and coordinate a student and hourly team to support the budget and finance operations of the KMCWR division.
  • Assist with the processing of all non-benefitted employee payroll forms and documents to ensure timely and accurate compensation to Division employees.
  • Assist payroll/personnel supervisors and staff with processes related to payroll, timekeeping, employee separation requests and labor costing in Sub-It-Up.
  • Assist with the research of payroll transactions and the preparation of HR/payroll reporting for the division leadership team.

Knowledge

  • Staff Management: Motivate and build relationships with part-time staff to achieve desired outcome in relation to facility safety, cleanliness, and customer service.
  • Customer Service: Engage and strengthen our relationships with students, alumni, and the Denver community.
  • Leadership: Motivate the team to act toward achieving the goals of the Division.

Skills

  • Physical Demands: Employee is regularly required to be able to operate work-related equipment. The employee must be able to frequently move about the facility with capability of transporting equipment or objects up to 50 pounds. The employee must be able to effectively communicate verbally with customers and employees of the university.
  • Mathematical Skills: Ability to calculate figures and amounts such as discounts, percentages, and participation statistics. Also, familiarity with financial concepts such as budget development/forecasting, depreciation, contribution margin, etc.

Abilities

  • Reasoning: Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization may exist. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
  • Other: ability to work with the public with tact and judgment. Excellent organizational skills required.

Required Qualifications

  • Bachelors Degree
  • One (1) year of experience in accounting, finance, business administration, and/or computing systems, or equivalent combination of education and work experience.
  • CPR; First Aid; AED; Blood Borne Pathogen; Concussion Training

Preferred Qualifications

  • Masters Degree
  • Two (2) years of experience in accounting, finance, business administration, and/or computing systems, or equivalent combination of education and work experience.
  • Two (2) years of management/supervisory experience.

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to work in front of a computer for extended periods of time.
  • Occasionally required to move about the office/campus.

Work Schedule

Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number

The salary grade for the position is 9.

Salary Range

The salary range for this position is $60,000-$70,000.
