Position Summary

This position is responsible for completing the timely and accurate processing of charitable contributions made to the University of Denver and supporting special data projects and data quality control within Gift Administration & Records Management. The Data and Gift Specialist performs a broad range of tasks, including data entry and retrieval, gift processing, and participating in setting data priorities and data control mechanisms to ensure that special projects affecting short-term fundraising goals are completed.

The Data & Gift Specialist works primarily from the Advancement office located in the Administrative Office Building of University of Denver’s campus (2601 E Colorado Ave, Denver, CO 80208). Occasional travel to and from campus may be expected for meetings, events, and collecting gifts. This position may be expected to work extended hours during May, June, July, December, and January in order to handle periods of heavier work volume for fiscal and calendar year-ends (they will be compensated in accordance with FLSA standards).

Essential Functions

Gift Processing

  • Under general supervision, process charitable gifts and pledges received by the University of Denver with a high degree of accuracy.
  • Review, validate, and post gift batches to CRM Advance in a timely manner.
  • Produce and send donor tax receipts in alignment with University procedures and IRS regulations.
  • Research and identify donors, donation designations, and solicitation codes while preparing gift batches for posting in CRM Advance.
  • Communicate with alumni, current and prospective donors, Advancement, and campus partners to promptly answer inquiries, collect and verify gift details, and otherwise provide a high level of customer service as a representative of the Gifts Administration & Records Management team.
  • Participate in Gift Administration & Records Management team meetings and additional meetings as needed.

Data Entry & Integrity

  • Improve the quality and effectiveness of the Advancement database (currently CRM Advance) and ensure the integrity of its data.
  • Create and update information, including but not limited to, gift recording, events, biographical recording, and document imaging.
  • Execute data entry projects accurately and timely. Analyze data for appropriate coding. Run data quality reports to ensure accuracy. Add new constituent records to the database as needed, analyze information, and populate all appropriate fields where information is available. Identify and recommend course of action on data quality issues.
  • Research missing information through a variety of paid and free resources, through campus partners, and from constituents.
  • Proactively collect and code critical data as determined by the data collection plan.
  • Work closely with Advancement Business Intelligence staff to develop data quality reports.

Partnerships & University Citizenship

  • Serve as an active and collaborative partner to all central and unit-based Advancement staff, the Controller’s Office, information  Technology, and other campus colleagues, , to foster strategic, effective, and collaborative career and professional development practices.
  • Models “One DU” leadership.

Knowledge, Skills, and Abilities

  • Knowledge of database software; high level of technological proficiency required.
  • Must possess strong critical thinking skills and recognize opportunities for improvement in the completion of tasks and projects.
  • Ability to handle confidential information with integrity and accuracy
  • Ability to navigate customer service situations, display good judgment and follow-through.
  • Must have strong organizational skills and strict attention to detail.
  • Must be able to manage time well, particularly while managing competing priorities.
  • Must be able to work independently and as a part of a group.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education or work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification)
  • 1 year of experience working in an office environment, including collecting and organizing data.

Preferred Qualifications

  • Experience working in a higher education or a similarly complex non-profit environment.
  • Experience with CRM Advance database software or similar software solution.
  • Experience working with and manipulating large quantities of data.

  • Standard open office environment
  • Noise level is quiet to moderate
  • Eligible for hybrid work

Physical Activities

  • Ability to use a computer for an extended period
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs. with assistance

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.  Some nights and weekends as required.

In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 8.

Hourly Range:
The hourly range for the position is $25.54-$29.63

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
