Beyond operational excellence, CES serves as a critical auxiliary revenue engine for the University. During a period of financial constraint and institutional budget pressure, CES plays an essential role in generating diversified revenue streams that directly support DU’s strategic initiatives. Revenue generated through conferences, camps, corporate meetings, and signature events helps fund academic innovation, student support services, facilities enhancements, and other mission-driven priorities. Events hosted on campus also serve as high-value institutional touchpoints that advance: Student recruitment and enrollment growth Community engagement and regional partnership development Alumni engagement and donor cultivation Brand visibility and thought leadership positioning As such, CES operates not only as a service unit, but as a strategic business function whose performance has measurable downstream impact on the University’s financial sustainability and long-term success. Position Summary: This position will provide strategic planning, management, and execution of events for visitors, external organizations, faculty, staff, and students who wish to plan a summer conference. Event Managers report to the CES Assistant Director, Event Operations and work closely with other professionals at the unit and campus levels. Success in this position requires flexibility to balance overarching DU and event strategy with managing logistical details. We are seeking a candidate with exceptional customer service and problem-solving skills with diplomacy and savvy to work with a wide range of stakeholders. This position fosters collaborative and inclusive partnerships and works closely with staff and service partners from across campus, while also serving off campus clients. This is a temporary full-time non-benefited position not to exceed 1,000 hours in a calendar year with a flexible schedule as needed to support evening or weekend events. Essential Functions: Event Planning & Client Management: Manage Summer Conferences by conducting site tours for prospective clients, consulting with them to determine objectives and requirements, and guiding them through the full event lifecycle. Responsibilities include booking events in Momentus (EBMS), scheduling spaces in 25Live, collecting payments, and coordinating all planning elements to ensure successful implementation of client expectations. Event Logistics & Operations: Oversee execution of event details such as meeting room assignments, room setups, audiovisual/media needs, dining and catering, signage, security, HVAC, grounds, and custodial services. Ensure all logistical elements are coordinated effectively and implemented according to event specifications while maintaining quality service standards. Space Management & Scheduling: Assign and manage event spaces strategically to maximize the effective use of university venues and resources. Monitor event requirements alongside other scheduled campus activities to avoid conflicts and ensure smooth coordination across venues and services. Collaboration & Vendor Coordination: Work closely with university departments, campus service providers, and external vendors to coordinate services required for event execution and settlement. Work with employees, contractors, and members of the public to support seamless event delivery. Program & Administrative Support: Assist the Assistant Director, Event Operations by coordinating conference logistics with service providers, guests, and other event managers. Provide administrative support to CES, and meet regularly with supervisor to share updates, review performance, and receive guidance. Event Oversight & Flexible Support: Provide on-site event oversight, which may include supervising contracted service providers, internal operational staff (such as parking and custodial teams), and student workers during events. Fulfill additional duties as needed outside normal responsibilities, including occasional evening and weekend work to support CES operations and events. Knowledge, Skills, and Abilities: Strong project management and organizational skills, with the ability to plan, coordinate, and manage processes that ensure successful completion of objectives. Excellent written and verbal communication skills, with the ability to interact effectively with clients, staff, and stakeholders. Sales mindset and technical aptitude, including willingness to learn event management systems and related processes. Ability to thrive in a fast-paced, team-oriented environment while managing multiple priorities and deadlines. Demonstrated dependability and professionalism in meeting responsibilities and commitments. Leadership and independent decision-making skills, with sound judgment and accountability. Strong attention to detail and commitment to high-quality work. Adaptability and flexibility in a dynamic or evolving work environment. Self-motivated with initiative and creative problem-solving abilities when addressing complex challenges. Proficiency in Microsoft Office Suite. Required Qualifications: Undergraduate Degree or Equivalent Experience Two to four years of related experience in event management Preferred Qualifications: Master’s Degree or Equivalent Experience Five plus years of experience managing events in an academic setting Certified Event Planner Momentus (EBMS) software 25Live scheduling software Experience in Higher Education Experience with VIP clients and high-profile guests and/or donors Working Environment: Combination of standard office environment and active event environments across campus venues On-site presence required to support event operations and venue oversight Event environments may involve elevated noise levels, large groups, and fast-paced operational activity Hybrid in office and work from home days based on operational needs Evening and weekend work required during peak event periods, particularly during summer conference season Participation in an on-call rotation may be required to support operational needs Physical Activities: Ability to sit in front of a computer for an extended period of time Ability to move about the campus pending events with the capability of transporting objects up to 50 lbs. Work Schedule Flexible schedule based on event needs with some nights and weekends. Hourly Range The hourly range for this position is $25.00 - $30.00 The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting.
