Summary

The PMO Administrator supports the Portfolio Management function by ensuring effective administration, governance, and continuous improvement of portfolio management tools, data, and processes. This role provides key operational support to Portfolio Managers and Senior business stakeholders to ensure quality and consistency across project and demand management activities.

 

Day in the life:

Demand and Project Data Governance
 
• Ensures accuracy and completeness of project and demand data across the portfolio.
• Performs quality assurance checks at key stage gates to validate compliance with governance standards.
• Coordinates data updates and validation activities with project and program managers, portfolio leads, and other demand stakeholders.
• Supports portfolio reporting by maintaining consistent data structures and metadata standards.
 
Governance and Assurance Support
 
• Assists Portfolio Managers in scheduling, preparing, and facilitating governance forums (e.g., Steering Committees, Portfolio Reviews, Demand Boards).
• Documents key decisions and actions from governance meetings and ensures appropriate follow-up.
• Supports internal and external project audits by preparing documentation and coordinating responses.
• Helps monitor adherence to PMO processes, templates, and quality standards.
PPM tool administration
• Owns the day-to-day administration and maintenance of the ServiceNow SPM (Strategic Portfolio Management) tool.
• Manages system releases, enhancements, configuration updates, and documentation.
• Coordinates with IT and vendors to ensure smooth deployment of new functionality and resolution of system issues.
• Develops and maintains user guides, FAQs, and training material for SPM users.
 
Reporting and Analytics
 
• Prepares and maintains project and portfolio reports, dashboards, and metrics under direction of the Portfolio Manager.
• Supports the development and continuous improvement of reporting tools and templates.
• Ensures timely publication of reports to key stakeholders and executive audiences.
 
Key Skills and Experience
 
Essential
• Experience in project or portfolio administration within a PMO environment.
• Strong knowledge of project management frameworks and governance processes.
• Excellent data management, documentation, and analytical skills.
• Strong attention to detail and commitment to quality assurance.
• Effective communication and stakeholder coordination skills.
• Proficient with Excel, Power BI, or other reporting tools (desirable).
Desirable
• Experience managing or supporting enterprise tools such as ServiceNow SPM (or similar, e.g., Clarity, Planview, or MS Project Online).
• Business analysis experience will be well regarded.

Qualifications
• Bachelor's degree.
• Project Management certification is desirable (e.g., PMP, PRINCE2).
