We’re looking for an HR Executive who thrives on precision, ownership and service excellence to power our Japan office. This is more than an operational HR role. It’s about creating a seamless employee experience while ensuring rock-solid compliance in a dynamic, growing business.
About the Opportunity
As HR Executive in Japan, you will own end-to-end HR operations from payroll and social insurance administration to onboarding, compliance and employee engagement.
You’ll be the go-to HR partner for our Japan team, ensuring our people are supported, our processes are compliant, and our culture continues to thrive. Working closely with regional HR colleagues and local stakeholders, you’ll play a key role in delivering both operational excellence and a standout employee experience.
What You Will Do
- Coordinate with external payroll vendors to ensure accurate and timely monthly payroll processing in compliance with Japanese regulations
- Calculate salaries, overtime, commuting allowances, bonuses and required deductions
- Manage statutory obligations including social insurance (健康保険・厚生年金), employment insurance (雇用保険), workers’ compensation (労災保険), resident tax (住民税), income tax (源泉所得税), and year-end tax adjustment (年末調整)
- Handle social insurance enrolment and withdrawal procedures and maintain accurate statutory reporting
- Act as the primary HR contact for payroll, compliance and employee-related queries within the Japan business
- Prepare employment contracts and onboarding documentation, and manage HRIS setup for new joiners
- Maintain accurate and up-to-date employee records and HR data
- Support recruitment coordination and contract renewals for temporary staff
- Implement and interpret global HR policies locally, ensuring alignment with Japan Labour Laws
- Liaise with internal and external stakeholders to ensure strong HR governance and compliance
- Drive employee engagement initiatives and support internal events and people-focused activities
- Collaborate with regional HR teams on people initiatives and contribute to ad-hoc HR projects
Who We're Looking For
- 2–4 years of HR experience within Japan
- Strong working knowledge of Japanese Labour Laws and payroll regulations
- Experience managing payroll coordination and statutory procedures
- High level of professionalism, discretion and maturity
- Detail-oriented but people-focused, structured yet adaptable
- Strong interpersonal skills with the ability to build trust across all levels
- Highly organised with strong attention to detail
- Proficient in Microsoft Outlook, Excel, Word and PowerPoint
- Experience working in a multinational or matrixed organisation would be desirable
- Exposure to HRIS systems would be advantageous
