About The Opportunity

As a Meeting Manager on our Strategic Meetings Management team, you'll be the driving force behind exceptional event experiences for our enterprise clients. This role combines the strategic thinking of account management with the satisfying hands-on execution of bringing events to life.

You'll own a portfolio of small to medium-sized meetings from conception to completion, serving as the primary point of contact your clients trust to deliver flawless execution every time. Whether you're negotiating contracts, building registration sites, managing complex budgets, or coordinating intricate logistics, you'll be the problem-solver who makes it all come together seamlessly.

This is a role for someone who thrives under pressure, loves the challenge of managing multiple moving pieces simultaneously, and finds genuine satisfaction in exceeding client expectations. You'll work with cutting-edge technology, collaborate across teams, and have the autonomy to innovate while following proven processes that ensure consistent excellence.

Key Responsibilities

  • Manage high volume of small to medium-sized meetings end-to-end with quick turnarounds, coordinating all logistics from planning through post-event reconciliation
  • Build and manage event registration websites, mobile apps, and virtual platforms using Cvent; implement standardized processes to meet deliverables and customer SLAs
  • Conduct venue sourcing and submit RFPs; negotiate hotel and supplier contracts to secure optimal terms and manage commission payments
  • Develop and maintain accurate event budgets from creation through reconciliation; ensure precise documentation of contracts, communications, and reporting
  • Serve as primary point of contact for stakeholders, clients, and delegates; respond professionally within agreed timeframes and exceed service expectations
  • Proactively communicate with Event Leads and clients to ensure complete task closure throughout pre-event, on-site, and post-event phases
  • Identify and mitigate risks, resolve conflicts constructively, and take ownership of issues while maintaining composure in high-pressure situations
  • Leverage data analytics to identify improvement opportunities; analyze event metrics and present actionable insights to optimize programs
  • Build collaborative partnerships across cross-functional teams and adapt seamlessly to evolving client needs and priorities
  • Manage competing priorities efficiently, participate in professional development, and stay current on industry trends and sustainability initiatives
  • Contribute to a safe, inclusive, and accessible work environment where all Flighties feel welcomed, respected, and supported to thrive

Experience & Qualifications

  • Minimum 3 years of meeting management experience executing small to medium-sized events from start to finish in fast-paced, high-pressure environments with competing priorities
  • Proven Cvent proficiency (registration sites, RFPs, venue sourcing) - required
  • Strong vendor negotiation and contract management skills; proven ability to secure favorable terms and manage supplier relationships
  • Demonstrated customer service excellence with track record of exceeding client expectations across diverse stakeholder personalities
  • Proficiency with project management software (Wrike or similar) and enterprise finance/budget systems (Prosim or similar)
  • Financial management acumen with ability to build, monitor, and reconcile complex event budgets; strong data management, reporting, and analysis capabilities
  • Exceptional attention to detail and accuracy; expert multitasking with ability to execute multiple simultaneous projects within tight deadlines while maintaining quality
  • Process-oriented mindset; follow established procedures, identify operational improvements, and experience developing or improving Standard Operating Procedures (SOPs)
  • Background with Strategic Meetings Management Programs (SMMP) or enterprise-level account management preferred

For this position, we anticipate offering an annual salary of $64,000 $72,000. Base salary is dependent on relevant factors, including experience, geographic location, and job requirements.
