The Role 

We are seeking a motivated Business Unit Administrator to join our team and play a pivotal role in supporting our operations.

As our Business Unit Administrator, you will be at the heart of our unit's success, providing essential administrative and coordination support to ensure smooth day-to-day operations. From managing schedules and coordinating meetings to assisting with project coordination and client communications, you will be a key player in driving efficiency and effectiveness across the unit.

Key Responsibilities:

  • Organize travel arrangements for Civil senior leaders.
  • Facilitate onboarding process for new salaried employees, including IT setup and provision of necessary personal protective equipment (PPE).
  • Maintain Client Contact Register.
  • Manage meeting notes and action registers.
  • Assist in Civil internal communication and LinkedIn activity.
  • Compile month-end financial report pack for EGM Construction & Engineering.
  • Provide administrative support to EGM Construction & Engineering.
  • Generate KPIs and weekly reports as needed.
  • Arrange training sessions and maintain records in appropriate systems.
  • Handle purchasing using the JOBPAC system and manage goods receipting.
  • Organize internal and client events.
  • Assist Civil Business Unit in compiling, reviewing, and submitting tender documents.
  • Prepare industry research reports as directed by EGM Construction & Engineering.
  • Assist in researching prospective clients' latest news and ASX reports for project insights.
  • Reconcile expenses and credit card statements for EGM and senior leaders.
  • Manage approved industry/community sponsorship budgets and reporting.
  • Support the management of approved client entertainment budgets.
  • Aid in managing approved industry networking event budgets.
  • Assist in managing industry marketing budgets and reporting.

The successful applicant will ideally have:

  • Five years + experience in a similar role.
  • Experience in the construction industry is desirable.
  • Strong computer software skills including MS Office and Outlook.
  • Meticulous attention to detail and accuracy in data processing.
  • Skilled in multitasking and prioritizing various tasks.
  • Flexible approach to work.
  • Commitment to a high-performance culture.
