Role

Seeking an experienced Executive Assistant to apply their outstanding administration, organisation and communication skills in supporting the Executive General Manager (EGM).

Based in our Subiaco head office, the successful applicant will effectively provide high-level daily support to the EGM, with some ad-hoc general support to other senior management and leadership teams when required.

 Key Responsibilities

  • Manage the EGM’s calendar including scheduling meetings and appointments, accepting/declining/rescheduling all calendar requests, and updating contacts details.
  • Meeting preparation; including attendee confirmation, printing of pre-reading material and catering as required.
  • Attendance as required meetings, take minutes/actions, electronically document, file and disseminate.
  • Monitor all EGM email correspondence and manage inbox
  • Communications with internal and external stakeholders on behalf of the EGM.
  • Assisting with the preparation and assembly of monthly review packs and Board reports.
  • Maintain physical and electronic filing systems for contracts and important documentation.
  • Assist in the preparation of executive summaries, newsletters, presentations, and announcements
  • Conduct desktop research on nominated areas of business.
  • Reconciling expenses and credit card statements.
  • Book and manage the EGM and senior management team’s travel (Domestic and International).
  • coordination of internal and external events, client entertainment, strategy sessions and large meetings. 
  • Build client relationships and represent SRG Global in a friendly and professional manner. 
  • Provide general support to the Infrastructure Management and Leadership team.

The successful applicant will ideally have:

  • Previous experience in executive support / personal assistant roles.
  • Substantial experience in administrative and office-based positions.
  • Knowledge of civil construction and resources industries is desirable.
  • Strong computer software skills, intermediate MS PowerPoint, MS Word and Excel.
  • High attention to detail and data processing accuracy.
  • High level written and oral communication and relationship management skills.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Ability to balance conflicting priorities and uphold strict deadlines.
  • Friendly and confident personality style.
  • Flexible approach to work.
