The Role

Seeking an experienced Project Administrator to be based out of our Subiaco Office supporting our Infrastructure project teams.

This role would suit an experienced, energetic and driven Administrator who is looking to add value to our teams by providing quality support and assistance in project coordination to our site, and office based teams.

This is a local, Monday to Friday role, based out of Subiaco, WA. Mobile and laptop provided.

Key Responsibilities:

  • Establish and maintain effective and cooperative working relationships with all team members.
  • Provide administrative support to site administrators or any site related activities including updates for clients as requested
  • Exception reports for plant and personnel – missing dockets/timesheets/pre-starts
  • Data entry into systems as required.
  • Create, administer and receipt purchase orders and work orders as requested
  • Mobilisation and demobilisation of personnel and plant, as requested
  • Maintenance of plant and equipment records – SMU hours, breakdowns, min hours etc
  • Mid-Month notifications to suppliers with reporting timeframes
  • End of Month reconciliations for labour and plant suppliers
  • End of Month cost reviews – open orders, unreconciled dockets, ledger reconciliations
  • Creation of daily-prestart forms for project teams
  • Assist generation of reports as required
  • Maintain office consumables, stationary, PPE and other allocated stock
  • Coordinate project-specific new starter activities including Client and Project Inductions
  • Organise travel and accommodation, if required
  • Generation of KPI, weekly reports as required
  • Organise training when required and ensure records management maintained in appropriate systems.

The successful applicant will ideally have:

  • Previous experience in an administration / similar role
  • Flexibility (and willingness) to travel adhoc to project sites if required
  • Strong communication and people skills
  • Strong computer and systems skills and knowledge
  • High attention to detail – experience with high volume invoicing/ purchasing
  • Experience with Jobpac, Power BI, MEX, Upvise, Dynamics will be highly regarded
