The role:

We are seeking an experienced and proactive Project Administrator to join our dynamic team. The ideal candidate will be organised, detail-oriented, and capable of handling multiple tasks with a high sense of urgency while maintaining a calm, resilient, and solutions-focused mindset.

Your impact:  

This is an excellent opportunity for a highly seasoned professional with leadership experience to support the successful execution of projects in a fast-paced environment. This role is currently based in Sanctuary Cove, QLD, with an expected relocation to Eight Mile Plains, Brisbane around April 2025.

Your every day:

  • Prepare and assist with financial reports, ensuring accurate and timely submission.
  • Oversee and manage daily dockets and related documentation.
  • Create and track purchase orders in line with project requirements.
  • Handle and process invoices, ensuring accurate coding and timely payments.
  • Review and manage subcontractor and progress claims, ensuring compliance with contract terms and project timelines.
  • Manage plant hire, including coordination, tracking, and operations support.
  • Provide day-to-day administrative support to the project team, ensuring smooth office operations.

Who are you:

  • Proven track record in project administration, ideally within the civil construction industry.
  • Strong ability to lead, motivate, and manage teams effectively.
  • Exceptional attention to detail and excellent organisational skills.
  • 3+ years’ experience in project administration, coordination or a related field
  • Intermediate Microsoft Office skills (Word, Excel, Outlook)
  • Experience of Job Pac, SharePoint, PayApps, Fleet Office or similar
  • Basic understanding of Accounts Payable & Accounts Receivable
  • Understanding of the Security of Payments Act (preferred, not essential)
  • Current Driver’s Licence
  • Strong time management, planning, organisational, and communication skills
