About the role

Activ Pathways is a commercially driven Registered Training Organisation (RTO) dedicated to delivering quality training services across Western Australia. Our mission is to broaden our impact within the wider WA community, with a specific emphasis on external growth and revenue. We are committed to ensuring compliance with relevant legislation, VET funding, regulatory standards, and new business ventures.

We are seeking a Customer Service and Administration Officer who will deliver exceptional customer service to all RTO stakeholders, including staff, customers, and students. This role upholds a student-centric focus in all communications, interactions, and administrative processes to build the RTO brand and confidence. The successful candidate will support the RTO teams in efficient administrative processes, ensuring compliance with funding and regulatory bodies, and fostering a collaborative team environment.

A typical day in the role may look like……

  • Providing clear and comprehensive responses to inquiries, offering guidance and support to meet customer and student needs.
  • Maintaining accurate and up-to-date records of enrolment inquiries along with student data in VETrak and other RTO systems
  • Responding promptly and managing follow-ups with potential students, providing relevant information to support enrolments.
  • Manage incoming RTO queries, including the central RTO mailbox, ensuring timely responses.
  • Assist with compliance requirements and financial activities.

The ideal candidate will have: -

  • Minimum 2 years of experience in an administrative or customer service role, preferably in an educational or RTO setting.
  • Empathy and a genuine commitment to student success.
  • Strong digital skills and adaptability to evolving technology.
  • Excellent communication, organisational, and time management skills.
  • Professional approach to personal accountability and RTO brand maintenance.
  • Open-mindedness towards new ways of working and innovative ideas.
