The Executive Director of Schools, Diocese of Wollongong, invites applications from suitably qualified and experienced personnel for this full time permanent position of Executive Assistant - ICLT, with Catholic Education Diocese of Wollongong (CEDoW).

ABOUT THE ROLE

This position exists to provide high level professional support to the Director – Information Communication and Learning Technology (Director ICLT), through the provision of  comprehensive administrative and organisational experience, skills and knowledge. The role also supports other members of the ICLT team as directed by the Director - ICLT. Your role may include: 

  • Model Catholic values by providing a welcoming, cooperative, accessible service for Catholic Education in the Diocese of Wollongong. 
  • Perform advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skills and knowledge in support of the functioning of the ICLT team. 
  • Act as a point of contact and connection for the Director - ICLT across service areas, including Leadership Team members, EAs, CEO personnel, principals, school staff and other external partners as appropriate. 
  • Design and format internal and external communications including memos, letters, emails, presentations, reports etc. 
  • Manage the Director - ICLT calendar, appointments, travel arrangements and meeting requests. 
  • Coordinate purchase orders, invoicing, credit card expenses and other financial matters under the direction of the Director - ICLT, including reconciliations, budget administration and reporting.  
  • Keep track of and coordinate the refreshes of staff provided tools of trade (laptops, Phones, iPads)
  • Support the management process for recruiting and exiting ICLT staff in accordance with procedures approved by the Director - PaC.
  • Draft, obtain approval for text for ICLT related appointments and announcements as required and submit to EA PaC for progression.

 ABOUT YOU

  • Commitment to the mission and purpose of the Catholic School within the broader Catholic Church. 
  • Advanced interpersonal and communication skills. (written and verbal)
  • Proven high level of confidentiality. 
  • Ability to manage multiple tasks simultaneously.
  • The ability to effectively manage the administrative systems and processes to support the Director ICLT. 
  • Technical competence in appropriate technologies such as MS Office Suite of applications and Google Workspace applications
  • The ability to manage and maintain the administration of system accountabilities and legislative requirements. 
  • The capacity to work both independently and as a member of a collaborative team. 

QUALIFICATIONS AND EXPERIENCE 

  • Certificate IV in Business Administration or relevant discipline, with training and skills in word processing, spreadsheet and presentation packages. 
  • Experience in diverse and varied clerical processes. 
  • Knowledge and understanding of the Catholic schools system. 
  • 5 years previous administrative experience

WORKING WITH CHILDREN CLEARANCE

This role is classified as child related work and therefore we require a working with children clearance to be completed prior to your commencement with us.
