About the Position

This position is responsible for the provision of high-quality acquisitions processing services within the library service, including using online bibliographic tools and resources. The incumbent will work within library policies and procedures to provide timely and accurate acquisition services as well as supporting branch operations.

The role is 45.6 hours per fortnight worked as follows: Monday 9-5.06pm; Wednesday 9-5.06pm; Friday 9-5.06pm (with a 30 mins lunch break).

 The main responsibilities of the Acquisitions Officer include:   

  • Receive deliveries of new library materials to ensure correct items are supplied as well as ensuring correct quantity whilst undertaking quality checks for damaged items.
  • Update and maintain invoice, order and delivery records
  • Adhere to local metadata requirements and modify records when necessary
  • Return incorrect materials to supplier and ensure item replacement or credit processing
  • Accession library materials, including magazines/periodicals, appropriately and according to procedure onto the Library Management System (LMS)
  • Check outstanding, cancelled and undelivered orders with suppliers and report any unresolved issues to Collections Team Leader
  • Update the orders and cataloguing records on LMS, including tracking serials for follow claims and renewal purposes
  • Provide basic cataloguing and end-processing support to Collections Team Leader as directed 
  • Liaise with Collections Team Leader and/or relevant library staff to assist with ordering annual publications, source new titles, and manage subscriptions for periodicals

Skill and Experience

  • Ability to accurately update and accession records using the Library Management System (LMS) 
  • Ability to follow processes regarding delivery of notices
  • Ability to accurately interpret invoices and delivery records
  • Excellent customer service skills
  • Ability to manage own time, set priorities and organise tasks

Requirements

  • A minimum of Year 12 education
  • Employee Working with Children’s Check 
  • Satisfactory National Police Check
  • Other pre-employment checks may be required depending on the role requirements
