Job Purpose: 

The CEO Office Administrator will provide administrative and operational support to the Executive Assistants and to the Executive leaders. Working closely with the EA team to ensure smooth day to day operations and contribute to the overall efficiency of the executive offices. Ensuring we have coverage of key activities of work on periods of holiday or peak workload. Maintaining confidentiality and professionalism in every interaction, this role will interact with internal and external stakeholders.  

 

Key Duties and Responsibilities: 

  • Support the small team of EAs provide an efficient and effective administrative service to our Executive Leaders
  • Assist with managing calendars and schedules, and co-ordinate daily logistics for appointments
  •  Assist in organising internal and external meetings,  events and offsites as required, including drafting agendas, booking rooms and refreshments, dealing with invitations and responses, collecting visitors and typing minutes
  • Assist in planning and arranging travel, including keeping any itineraries up to date and dealing with any last minute changes
  • Support with any requests for information from across the business.
  • Support in the preparation of meeting materials as needed
  • Act as point of contact as needed for internal and external contacts
  • Manage routine office duties such as invoice requests administering expenses; supporting the claiming process, maintaining records, systems information and filing of documents as needed
  • Monitor and respond to emails as directed
  • Provide cover and support when others are out of the office or on leave
  • Maintain confidentiality at all times

 

Experience and Qualifications: 

  • Some previous administration experience essential. Experience supporting senior executives would be desirable
  • Tech savvy, with proficient IT skills, across Microsoft Office, and MS Teams, and willing to learn new systems.
  • Good written and verbal communication skills
  • Proactive, organised, and able to prioritise competing demands and workloads
  • Attention to detail and accuracy

 

Additional Requirements: 

The post-holder will be required to travel to other Aston Martin sites, so a valid, current driving license is essential.

The requirement to work on-site 5 days a week. Flexibility on start and finish times due to events and different locations is required.
