About the opportunity

The Senior Administration Officer is a key member of the Sciences and Engineering Administration Team, providing high-quality administrative support that enables the effective delivery of teaching, research and operational activities across the our Academic units.

Alongside providing advanced support across a broad range of administrative functions, you will help coordinate day-to-day workflows, promote consistent and streamlined practices, and provide guidance and support to Administration Officers. Your experience, sound judgement and collaborative approach will help the team navigate more complex enquiries while maintaining a responsive and high-quality service.

What you’ll do:

  • Provide responsive, customer-focused administrative support to academic and professional staff across Academic Units within Sciences and Engineering.
  • Support consistent and efficient service delivery by assisting the Coordinator, Administrative Services with the development, refinement and implementation of Standard Operating Procedures, and modelling proficient use of approved University systems.
  • Maintain comprehensive and current knowledge of relevant policies, procedures and compliance requirements, providing proactive, accurate and solutions-focused advice to colleagues and stakeholders.
  • Provide subject matter guidance on administrative processes, systems and compliance requirements, acting as an escalation point for Administration Officers and stakeholders requiring advanced or specialist knowledge.
  • Contribute to a positive, high-performing, continuous improvement culture by identifying and leading opportunities for process improvement, developing specialist expertise in key operational areas, and providing guidance and informal coaching to Administration Officers.
  • Manage complex administrative tasks requiring cross-team coordination and a high level of accuracy.­

What we’re looking for:

  • Demonstrated commitment to high-quality customer service.
  • Highly developed interpersonal, communication and influencing skills, including the ability to engage effectively and professionally with a wide range of people.
  • Proven ability to work both independently and as part of a team, exercising sound judgement, initiative and problem-solving skills within established guidelines, and providing guidance and support to colleagues where required.
  • Strong organisational capability, including demonstrated experience managing competing priorities, maintaining accuracy and attention to detail, working with discretion, and upholding confidentiality across sensitive or complex administrative tasks.
  • Advanced digital and systems capability, including a high level of proficiency with Microsoft 365 and demonstrated experience using enterprise systems or databases to support administrative processes and service delivery.

Qualifications and Licences:

  • Completion of a Certificate IV/Diploma level qualification, or an equivalent combination of relevant experience and/or education/training.

Salary details

Appointment to this role will be at HEO 5 and will have a total remuneration package of up to $105,665 comprising base salary within the range of $80,869 to $90,312 plus 17% superannuation.
