Administrative Assistant I/II in the President’s Office (Ref.: 531482)
We are looking for an Administrative Assistant I/II (AAI/II) to join the President’s Office.
The Role
The appointee will serve as the Personal Assistant to the Vice-President (Institutional Advancement) (VP (IA)). He/She will provide a full spectrum of administrative and secretarial support to the VP (IA), with duties including but not limited to:
- scheduling meetings and appointments, ensuring all necessary preparations are in order;
- managing correspondence and communications, and preparing all kinds of documents;
- liaising and coordinating with internal Faculties/Departments and external parties for the execution of functions and duties under the portfolio of VP (IA); and
- performing other duties as assigned in the President’s Office.
Qualifications and Qualities
Applicants should have a good university degree with at least 8 years’ work experience in administration, preferably with relevant experience in supporting senior management executives. They should be highly motivated and meticulous, with a strong sense of responsibility; possess an excellent command of both written and spoken English and Chinese, and a high level of organizational, multi-tasking, problem-solving, and interpersonal communication skills. They should also have strong computer literacy and be able to work independently and efficiently. Applicants with less experience may be considered for appointment as AAII.
What We Offer
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary for AAI, or up to 10% of basic salary for AAII.
