Executive Assistant (at the rank of Clerk II) in the Communications and Public Affairs Office of the Registry (Ref.: 532087)

The Communications and Public Affairs Office (CPAO) of the Registry of the University of Hong Kong (HKU) enhances HKU's reputation through branding, events, digital communications, media relations, and more. The office is also responsible for University events and ceremonies, publications, both external and internal communications, crisis management and community engagement. We are looking for talented candidates to join the team. 

Key Responsibilities: 

As the Executive Assistant, you will: 

  • Provide clerical support to the Office, including but not limited to reception counter service, handling inquiries, coordinating meetings, overseeing office supply inventory, furniture acquisition and disposal, facility maintenance, and managing correspondences and documentation;
  • Assist in human resources and finance administration tasks such as arranging written tests and interviews, managing petty cash, handling staff reimbursements, preparing purchase requisitions and orders, and processing invoice payments;
  • Collaborate with team members and liaise regularly with a range of central administrative offices of the University; and
  • Perform any other duties, responsibilities, or ad-hoc projects within CPAO as required, in support of operational needs. 

Qualifications and Qualities: 

We are seeking a motivated individual who possesses the following skills and experience: 

  • A Bachelor’s degree, with at least three years’ relevant work experience preferably in a tertiary institution or in the education sector;
  • A good command of written and spoken English and Chinese, including Putonghua;
  • Proficiency in PC applications;
  • Excellent interpersonal, communication and problem-solving skills;
  • Well-organized, attentive to details, highly motivated, able to work independently and multitask;
  • Strong sense of integrity, responsibility, teamwork, and commitment to providing excellent service; and
  • Willingness to work outside of regular work hours and be on duty as required.

What We Offer:  

The appointment will be made on a one-year temporary term with University contribution to a retirement benefits scheme, with the possibility of renewal to a two-year fixed-term basis upon contract end subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered. Other benefits include annual leave and medical benefits.
