Executive Assistant (at the rank of Clerk II) in the General Services of the Registry (Ref.:532321) (to commence as soon as possible, on a two-year fixed-term basis, with a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)

The Mail and Gown Services within the General Services of the Registry is responsible for managing official correspondence, coordinating academic dress rentals with designated vendor and Faculties, and loaning academic dresses to Faculty members for degree congregations.

Applicants should have 5 passes in HKCEE, including English (min. Grade C if Syllabus A/Level 2 from 2007), Chinese (Level 2 from 2007) and Mathematics, OR min. Level 2 or equivalent in 5 subjects in HKDSEE including English Language, Chinese Language and Mathematics, with at least 4 years’ relevant work experience in office administration; OR a recognised Bachelor’s degree with at least 2 year’s relevant work experience, preferably in tertiary institutions.  They should have a good command of written and spoken English and Chinese (including Putonghua), good organisational, interpersonal and problem-solving skills, and an appropriate level of IT proficiency.  They should also be a highly motivated, detail-oriented team player with strong multitasking skills.

The appointee will assist in the management of the operations of the Mail and Gown Services, including processing outgoing and incoming mail, maintaining accurate postage records, handling enquiries about academic dress rentals, coordinating the collection and return of academic dresses with Faculties, and provision of reception services in the mail and gown room.  He/She will also perform any other assigned duties and may be required to work at irregular hours.  Shortlisted candidates will be invited to attend a written test and an interview.
