Executive Assistant (Administrative Services) (at the rank of Clerk II) in the University Libraries (Ref.: 532530)
 
We are looking for a highly motivated and organized individual to join the University Libraries to provide quality services within Administrative Services and/or other functional area(s).
 
The Role
 
Reporting to the Administrative Services Manager, the appointee will provide secretarial support and assist in the financial management and office administration of the Administrative Services Division. Key duties include:
 
• Secretarial Support to senior member(s) of Chief Information Officer and Librarian Office 
 
o Managing schedules, appointments, and correspondence for senior member(s); and
o Preparing and organizing documents, reports, and presentations as required.
 
• Administrative Support in financial and operational matters
 
o Managing tenders, procurement, and inventory record of library items;
o Processing payment invoices and purchase orders;
o Handling budgetary control matters and data input;
o Providing logistics support to library events; and
o Performing other duties as assigned.  
 
The appointee may be required to work outside normal office hours occasionally.
 
Qualifications and Qualities
 
• A Bachelor’s degree in Finance, Accounting or related disciplines; 
• At least 1 year’s relevant post-qualification work experience;
• A good command of written and spoken English and Chinese (including Putonghua);
• Good organizational and communication skills;
• Proficiency in Microsoft Office applications (including Word, Excel and PowerPoint);
• Ability to work independently with good time management skills and a strong sense of responsibility; and
• A good team player, hardworking and self-motivated.
 
What We Offer
 
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance.  A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary.  Other benefits include annual leave and medical benefits.
