Secretary I in the Internal Audit Office (Ref.: 532571)

The Role

The Internal Audit Office is seeking a highly organized, detail-oriented, and proactive Secretary to support the Director of Internal Audit and ensure the smooth day-to-day operation of the Internal Audit Office. The ideal candidate will possess strong communication skills, multitasking ability, and a commitment to maintaining a professional and efficient work environment.

Key Responsibilities

  • Provide executive support to the Director of Internal Audit, including meeting coordination, calendar management, etc.
  • Oversee daily administrative operations to ensure the Internal Audit Office runs efficiently and in compliance with university policies.
  • Maintain a clean, safe, and well-stocked office environment.
  • Coordinate procurement of office supplies and manage general upkeep.
  • Facilitate administrative support functions such as mail distribution, filing, and meeting room setup.
  • Maintain an accurate team calendar and schedule of meetings.
  • Serve as secretary for team meetings, including preparing and distributing professional meeting minutes.
  • Liaise with University departments (e.g., IT Services, Human Resources) to support office operations.
  • Monitor office needs and coordinate equipment upgrades as necessary.
  • Assist with budgeting and accounting tasks, including expense tracking, reimbursements, and purchase orders.
  • Maintain staff leave records and ensure compliance with university HR policies.
  • Perform other duties as assigned by the Director of Internal Audit.

 Qualifications and Qualities

  • At least 10 years of relevant experience of a similar role.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficient in Microsoft Office.
  • Ability to handle confidential information with discretion.
  • English, Mandarin and Cantonese competency.

A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment on fixed terms will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary.
