Clerk I/II (holding the functional title of Senior Executive Assistant/ Executive Assistant) in the Centre of Cancer Medicine, School of Clinical Medicine (Ref.: 535099) (to commence as soon as possible, on a two-year fixed-term basis or one-year temporary basis, with the possibility of renewal subject to satisfactory performance and funding availability)
The Centre of Cancer Medicine is a platform to facilitate the academic development of cancer medicine and oncology, created to foster collaboration among the cognate disciplines/(sub)specialities within the Centre of Cancer Medicine/ School of Clinical Medicine, and with other Schools/ Departments/ Institutes/ Hospitals/ Colleges. The Cancer Clinical Trials Unit is dedicated for the management, organization and conduction of oncology and related clinical research.
Applicants should possess a recognized degree, or 5 passes in HKCEE including English (min. Grade C if Syllabus A/Level 2 from 2007), Chinese (Level 2 from 2007) and Mathematics; OR min. Level 2 or equivalent in 5 subjects in HKDSEE including English Language, Chinese Language and Mathematics with at least 2 years’ work experience. A good command of spoken and written English and Chinese. Excellent organizational and communication skills, strong computer literacy, and the ability to handle multiple tasks efficiently. Applicants with less experience may be considered for appointment as Executive Assistant.
The appointee will handle the day-to-day clerical work for the Cancer Clinical Trials Unit, Centre of Cancer Medicine. This includes general office tasks such as answering phones, handling incoming and outgoing mail, and keeping the office filing system organized and up to date. The role also involves helping with basic office chores, such as checking stationery stocks, ordering new supplies, and ensuring that the workspace and meeting rooms are tidy and ready for use.
The role will also support the research team with simple document tasks and record-keeping. This includes photocopying and scanning study documents, preparing folders for patient visits, and helping data entry of study documents into an electronic data capture system. The appointee will help update simple logs and lists, such as staff contact lists or attendance records, and ensure that all documents are filed safely to protect patient privacy.
Additionally, the appointee will also handle basic financial and data tasks to keep the unit running smoothly. This includes collecting and organizing receipts for research expenses, fill out reimbursement forms for travel, and performing accurate data entry into the department’s computer systems and performing any other duties as assigned.
Shortlisted candidates will be required to attend a written test and an interview. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment on fixed-term basis will attract a contact-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary.
