Executive Officer (holding the functional title of Assistant Manager) in the LKS Faculty of Medicine (Ref.: 536716) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and performance)

The LKS Faculty of Medicine is seeking a highly motivated individual to support the Partnership and Engagement Deanery as an Executive Officer. Join our dynamic and collaborative team!

This position requires the appointee to work closely with colleagues in the Partnership and Engagement Deanery, which is responsible for expanding and strengthening the LKS Faculty of Medicine's global and Chinese Mainland partnerships. Examples of activities undertaken by the Partnership and Engagement Deanery include hosting the Secretariat Office of a consortium of health sciences institutions; organizing incoming and outgoing institutional visits; event organizing; and programme development and implementation.

The candidate will play a supporting role in cultivating relationships, identifying growth opportunities, and driving collaborative initiatives that align with the strategic direction and long-term goals of the LKS Faculty of Medicine. This position offers an exciting opportunity for the candidate to advance the internationalization efforts and global positioning of one of the top medical schools in the world, while building the candidate’s own global exposure and networks.

Main Responsibilities:

  • Support the administration, coordination, and operation of partnership networks and engagement initiatives managed by the LKS Faculty of Medicine, including managing communications, social media platforms, websites, and regular meetings (e.g., agenda preparation and minute-taking).
  • Assist in the planning, preparation, and execution of a wide range of projects, events, and initiatives, including annual meetings, conferences, symposiums, visits, and staff and student engagement activities. Responsibilities include programme planning, budget monitoring, procurement and RFQ handling, marketing and promotion, stakeholder coordination, logistics management, and post-event reporting and evaluation.
  • Foster and maintain effective relationships with internal and external stakeholders across the Faculty, Chinese Mainland, and international partners to support strategic engagement and collaboration.
  • Support the development and implementation of strategies, processes, and initiatives that strengthen and expand global and Chinese Mainland partnerships.
  • Conduct research and environmental scanning to identify collaboration opportunities and support partnership development activities.
  • Prepare, maintain, and enhance presentations, reports, briefing materials, and other communication resources to support the work of the Partnership and Engagement team.
  • Maintain accurate records and monitor the progress, outcomes, and follow-up actions of partnership-related activities to ensure effective tracking and reporting of engagement efforts.
  • Perform administrative and operational duties related to partnership and engagement activities, including budgeting, payments, documentation, reporting, and other coordination tasks as required.


Requirements:

  • A recognized bachelor's degree with at least 5 years of full-time relevant experience in partnership development, event management, project management, and operational administration, preferably involving engagement with stakeholders from both the Chinese Mainland and international settings.
  • Understanding of tertiary education and global healthcare education trends, policies, and practices.
  • Excellent interpersonal, communication, and relationship-management skills, with the ability to build and maintain effective working relationships with diverse internal and external stakeholders.
  • Strong cultural competency, adaptability, and an international mindset, with a keen interest in expanding global exposure and working effectively with Chinese Mainland and international counterparts.
  • Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously, prioritize competing demands, and deliver results under pressure and within tight deadlines.
  • Proactive, resourceful, and able to work independently as well as collaboratively, with sound judgment and strong problem-solving skills.
  • Proficiency in leveraging AI-powered tools and digital technologies to enhance productivity, streamline administrative processes, improve stakeholder communications, and support continuous improvement. Demonstrated willingness to explore and adopt emerging technologies and innovative work practices will be an advantage.
  • Fluent command of written and spoken English and Chinese.
  • Proficient in Microsoft Office applications, Canva, Adobe Creative Cloud, and social media platforms such as Instagram and LinkedIn. Knowledge of additional digital tools and software-as-a-service (SaaS) platforms would be an advantage.
