Applications are invited for appointment as Project Manager (Alumni Affairs) (at the rank of Executive Officer) in the Development & Alumni Affairs Office (DAAO) (Ref.: 537423) (to commence as soon as possible, on a two-year fixed-term basis with the possibility of renewal subject to satisfactory performance).
The appointee will be joining a dynamic and collaborative team dedicated to engaging HKU’s alumni community through a wide range of events, donation campaigns and outreach initiatives. We are looking for a motivated and creative team player who is excited to embrace fun and meaningful challenges, try new ideas, and contribute to meaningful alumni engagement work. He/she will be reporting to the Assistant Director (Alumni Affairs) in handling the execution of a range of tasks, including but not limited to alumni engagement and relationship management, event and project management, social media communications and administrative support.
Key Responsibilities
He/She will:
- assist in the planning, organisation and execution of alumni events and activities, including campus reunions, alumni tours, networking events and other engagement programmes;
- support annual congregation-related events and preparation work, including planning, coordination of logistics, materials preparation, on-site arrangements and liaison with relevant parties;
- assist in managing the Office’s social media content and channels, including content planning, drafting, scheduling, coordination of creative assets, and monitoring of audience engagement;
- support content development for platforms such as Instagram, Facebook, YouTube, LinkedIn, WeChat, and others;
- assist in maintaining alumni relationships, handling alumni enquiries, updating alumni-related records and supporting alumni outreach initiatives;
- coordinate with internal departments and external vendors on operational matters, including procurement, payment processing, logistics, venue arrangements, moving-related matters and other administrative duties;
- perform any other duties as assigned.
Some evening, weekend or public holiday work may be required occasionally for alumni events and University activities. Compensation leave will be offered.
Requirements
Applicants should possess the following qualifications:
- a good university degree, with at least 3 years of relevant experience;
- relevant experience in event management, alumni relations, external communications, marketing and social media management would be an advantage;
- work experience in university alumni relations and / or familiarity with HKU culture and structure would be highly preferred;
- an excellent command of spoken and written English and Chinese, including fluency in Cantonese and Putonghua;
- strong communication, organisational and problem-solving skills;
- a dedicated team player who is attentive to details, service-oriented, able to multi-task, and able to work independently with initiative and under pressure to meet tight deadlines;
- familiarity with major social media platforms, including Instagram, Facebook, YouTube, LinkedIn, WeChat and Xiaohongshu; and
- experience in creating creative content for social media would be preferred.
Applicants with less experience may be considered for appointment as Project Executive.
