About the role:

We are seeking a Senior Administrative Officer to play a key role in the smooth and efficient operations of our Institute. You will develop and implement business administration policies and practices, provide high-level solutions to administrative challenges and advice to executive and senior staff, and support research related programs and activities, including developing procedures and guidelines. This position requires a strong understanding of academic and administrative policies and their local application. Reporting directly to the Executive Officer, IMPACT, you will support and also have opportunities to act in the Executive Officer role as needed.

Key responsibilities:

Coordinate and Advise: Provide expert coordination, support, and advice on business, research, administrative, and operational matters to ensure effective management of the Institute’s functions and resources.

Support Daily Operations: Deliver comprehensive support across a range of daily university and Institute activities, including human resources, work allocation, finance and grants management, logistics, and on-the-job training.

Simplify Complex Information: Analyse complex information, such as university governance, procedures, and guidelines, to support operational delivery. Communicate next steps clearly and concisely to ensure understanding.

Drive Continuous Improvement: Gather feedback from diverse stakeholders to identify areas for improvement. Implement changes effectively while addressing any challenges that arise.

Build Strong Relationships: Cultivate productive relationships with a wide range of stakeholders and key influencers both within and outside the University.

Advise and Develop Solutions: Offer expert advice on the use and administration of university services, developing practical and accessible solutions tailored to stakeholder needs.

Communicate Effectively: Use confident communication and the right influencing techniques to build understanding and gain support for initiatives.

Mentor and Develop Teams: Support team growth by providing balanced, constructive feedback, fostering individual and team development based on capability and performance.

To be successful, you’ll have:

  • A degree with at least 4 years subsequent relevant experience; or
  • An equivalent combination of relevant experience and/or education/training.
  • Extensive administrative and coordination experience working within a large organisation with formal administrative structures, policies and procedures; preferably in a tertiary educational institution.
  • Experience in continuous improvement and leading and delivering local level projects.
  • Skilled in setting, reviewing and delivering according to changing priorities.
  • Excellent communication, interpersonal and presentation skills with the ability to build strong relationships and produce clear and accurate communications
  • Proven high level of accuracy and attention to detail in all aspects of performance
