About the role:

The Advancement team at Deakin focusses on building relationships with key stakeholders that make a real difference for Deakin’s students, researchers, and communities. One of the great strategic strengths of philanthropy is the possibilities it gives to make a genuine transformation through education.

Philanthropy is a very important part of Deakin’s history, present, and is an essential element to helping Deakin realise its future plans. Philanthropic support plays a critical role in driving new opportunity, innovation and excellence across education and research at Deakin, and has a real impact across the many communities we serve.

This integral role ensures efficient and transparent management of philanthropic gifts within the University, upholding the highest standards of accountability in reporting on the handling and investment of these contributions.

The Coordinator, Gifts & Information is responsible for the strategic development and implementation of essential infrastructure support, helping the University maximize the potential of fundraising efforts. This includes the effective management of both potential and current donors, as well as their donations.

As a Coordinator, you will:

  • Ensure precise and up-to-date donor and donation data management using Deakin ARMS (Blackbaud CRM) for seamless operations.
  • Strategically lead and deliver gift processing services, driving impactful fundraising efforts and supporting donor intent across the University.
  • Leverage powerful insights from Deakin ARMS to continuously refine and elevate gift processing practices for maximum efficiency.
  • Build dynamic, long-lasting relationships with donors, understanding their unique motivations and consistently exceeding their expectations to inspire repeat and increased giving.
  • Drive collaboration and innovation across teams and stakeholders, continually improving processes to streamline gift processing and administration for greater impact.

To be successful, you’ll have:

  • A relevant degree with substantial experience, or extensive expertise in technical/administrative fields, or a combination of education and experience.
  • Proven experience in fundraising environments, with a solid understanding of policy and legislative compliance in both Australian and international contexts.
  • Proficiency with complex relationship management databases, such as Donor, Alumni, Student, or HR systems.
  • Strong ability to manage projects autonomously while maintaining high standards and exercising sound judgment, initiative, and discretion.
  • Experience building deep, trusting relationships with stakeholders, ideally in philanthropic settings, and handling sensitive information with utmost confidentiality.
