About the role:

The Major Events and Visits team is responsible for the project management of high-profile events, including VIP visits, public orations, cultural festivals, industry expos, and key faculty and partnership events.

We are seeking a Coordinator, Major Events and Visits to play a vital role in supporting the end-to-end delivery of major corporate, faculty, and partnership events. Working closely with multiple stakeholders, you’ll help bring our annual events calendar and corporate event program to life.

Reporting to the Specialist, Major Events and Visits, the role will:

  • Coordinate high-risk and complex events, including contracting venues/suppliers, undertaking risk assessments and contractor inductions, determining operational requirements, and liaising with high-profile visitors.
  • Provide professional advice and support during the pre-planning of events, as well as on-site assistance during their implementation.
  • Support the continuous improvement of management standards and Deakin's event capabilities, while promptly addressing any critical issues that arise.
  • Prepare high-quality event documentation such as invitations, orders of proceedings, speaker request forms and running sheets.
  • Scope event requirements and work within allocated budgets, and monitor and reconcile the final event budget.
  • Maintain event data management within the database including reporting, identifying and tracking engagement activity.                                                                                                                                                                                      

To be successful, you’ll have:

  • A Degree with substantial subsequent relevant experience; or
  • Extensive experience in project management of events
  • An equivalent combination of relevant experience and/or education/training.
