The primary purpose of the School Administrative Officer is to provide highly professional administrative support that contributes to the effective delivery of administrative services at the school. This position is a key part of the School of Communication and Creative Arts professional staff team with a primary focus on providing effective, consistent and systematic administrative support that enables the school to operate as efficiently as possible.

As a School Administrative Officer, you will:

  • Coordinating and/or providing highly efficient administration services across committee support, staffing, finance, and governance, facilitating smooth operation of the school adhering to the University policies and procedures at all times and confidential handling of all matters.
  • Responding to enquiries accurately and in a timely manner and handling confidential information sensitively, to facilitate effective communication flow between academic staff and professional staff, senior staff of the University and external parties.
  • Provide cross functional team support and coverage as and when required.
  • Conduct and coordinate the operations of committees, both internal and external and act as Secretariat to those committees, including preparation and distribution of agendas and attachments, attendance at meetings, minutes, managing meeting follow-up activities and implementation of agreed resolutions in accordance with university policy and procedure.
  • Manage and maintain records ensuring the appropriate filtering and follow up of information such as Staff Development Academic Study Leave, including the GCHELT are stored and readily retrievable.
  • Provide a variety of general administrative support and assistance as directed, including but not limited to coordination of diaries; sessional staff administration i.e. issuing of sessional contracts and the timely processing of the fortnightly payroll, work requests; major events support; meetings and room bookings; data entry for eVALUate; management of missing results, and exams.

 Special Requirements:

  • Occasional work outside of regular business hours, and occasional travel to other campuses as required.

 To be successful, you’ll have:

Qualifications and Experience:

  • Completion of a Degree without subsequent relevant work experience; or
  • Completion of an Associate Diploma and at least two years subsequent relevant work experience; or
  • An equivalent combination of relevant experience and/or education/training
  • Experience in administration and related activities in a large organisation with complex administrative structures, policies, and procedures.
  • Experience in operating in a high-pressure diverse environment, involving face to face, phone, and written issue.
