Administration Manager
We are seeking a dynamic and experienced individual to lead and inspire our Front Office and Consulting Suite teams at Ramsay Clinic Northside.
About the Role
Join our prestigious Ramsay Clinic Northside as a highly motivated and experienced Administration Manager. In this pivotal full-time role, you will oversee the Clinic’s administrative functions, ensuring the efficient delivery of our reception and patient admission services for both inpatient and day patient, as well as our busy and successful outpatient services.
As a key member of the Management Team, you will provide supervision and support to your team, working closely with all departments of the Clinic. Your responsibilities will include day-to-day operational duties, timely reporting, and managing department KPIs such as labour, DUR, and aged debtors. This position reports directly to the Director of Finance & Support Services.
Key Responsibilities
- Lead and supervise the administrative team of approximately 30 staff, including rostering, training, mentoring, performance review and recruitment.
- Oversee daily administrative operations, including reception, admissions and patient accounts,
- Facilitate department meetings and attend daily, weekly and monthly Clinic meetings
- Provide support and guidance to the outpatient Consulting Suites Team Leader and build strong relationships with our VMO’s
- Ensure compliance with clinic policies and procedures and health fund requirements
- Implement and improve administrative processes to enhance efficiency
- Ensure that the Clinic provides exceptional customer service to patients and their families
About You
To excel in this position, you will have strong leadership skills, excellent organisational and customer service abilities and a passion for supporting mental health services. You will be a strong communicator with the capacity to effectively engage with a wide variety of stakeholders including doctors, patients, health insurers and staff within the clinic and Ramsay Health Care.
It will also be advantageous to have:
- Qualification or extensive experience in administration, management or commerce/finance
- Knowledge of patient administration software, such as Bluchip, Meditech
- Health sector administration experience (hospital or doctors' practices)
- Strong experience in Billing & Accounts Receivables
- Well-developed interpersonal and problem-solving skills with customer focus
- Excellent IT skills in Microsoft suite and experience in new system rollouts

Requirements
- Must provide a National Police check conducted within the previous 12 months
